Job Description:
We’re looking for a reliable and detail-oriented Office Administrator to support our growing team.
Key Responsibilities
- Serve as the primary point of contact for clients via phone, email, and other communication channels.
- Coordinate with clients and internal bookkeeping, payroll, and accounting staff to obtain required documents and information in a timely manner.
- Track outstanding client requests and follow up regularly to ensure deadlines are met.
- Assist with onboarding new clients, including gathering information, preparing engagement documents, and setting up workflows.
- Draft engagement letters, proposals, and other client communications based on firm templates and senior staff instructions.
- Conduct client scope reviews and assist with identifying required services and documentation.
- Assist with payroll processing and payroll-related administrative tasks (prior payroll experience is an asset but not required).
- Communicate with government agencies, including the CRA, to obtain information, resolve account issues, and follow up on client matters.
- Prepare draft responses, emails, and correspondence for review by senior accountants and managers.
- Utilize AI tools and modern technology to improve efficiency, assist with research, drafting, and workflow management.
- Maintain accurate client records, document management systems, and workflow tracking tools.
- Support the accounting team with administrative and operational tasks as required.
- Assist in scheduling meetings, managing calendars, and coordinating internal and external communications.
- Ensure a high level of client service by responding promptly and professionally to inquiries.
Qualifications:
- 1+ year of experience in office administration.
- Familiarity with Canadian payroll and CRA remittances
- Strong organizational and communication skills
- Proficiency in Microsoft Office.
- Detail-oriented and able to manage tasks independently
