Pay: $20.00–$22.00 hourly depending on experience

As a key member of the Service team, the Parts Coordinator plays a critical role in keeping equipment running, technicians supported, and customers informed while also contributing to daily branch operations.
What You’ll Be Doing
- Deliver exceptional customer service through phone, email, and in-person interactions.
- Act as the primary liaison between customers, technicians, and internal teams to ensure clear communication and timely follow-up.
- Prepare and provide repair and service quotes.
- Create and manage work orders for internal and customer equipment ensuring parts are allocated accurately to the appropriate machines and jobs.
- Order, allocate, and track parts to the appropriate equipment and work orders as needed to support timely repairs.
- Monitor outstanding parts orders and follow up as required.
- Run daily reports to support service and parts operations.
- Submit and track warranty claims while maintaining accurate records within company systems.
- Monitor and maintain parts inventory, rental equipment, and saleable goods, including restocking shelves and updating tracking tools.
- Oversee the repair process from intake through completion, working cross-functionally to support efficient service delivery.
- Provide administrative, invoicing, and warranty support ensuring pricing, information accuracy, and proper documentation.
- Facilitate customer walk-ins and calls, including sourcing equipment and supplies, coordinating deliveries, and securing transportation.
- Prepare and ensure all deliveries are organized for the following day.
- Assist with loading and unloading customer pick-ups and deliveries when required.
- Open and close the branch as needed and complete daily closing requirements, including invoice checks and fund balancing.
- Invoice parts orders and service orders as required.
- Work cross-functionally with other departments to ensure timely repairs and service delivery
- Collaborate seamlessly with your colleagues to create a supportive and efficient work environment.
- Follow all workplace safety protocols and environmentally sound practices, making sure everyone stays safe.

What We're Looking For
- Computer Skills: Proficiency in Microsoft Office (Outlook, Word, and Excel.) Experience with Systematics would be an asset.
- Parts Knowledge: Familiarity with parts ordering, work orders, purchase orders, inventory and estimates.
- Customer Service Oriented: Excellent communication skills and a knack for making customers feel valued.
- Team Player: Ability to work effectively within a team environment with the ability to juggle multiple priorities.
- A Self-Starter: With a keen sense of time-management and effective planning skills.
- Excellent organization and attention to detail.
- Experience working in a parts, service, or technician-support environment.
- A technical understanding of CAT equipment would be considered an asset.
- Flexibility to support on-call schedules, including occasional Saturdays.
