Position Overview
The Sales Operations Coordinator will be responsible for sales administration for various communities across the GTA. The candidate will serve as a trusted advisor and will work to execute a full complement of sales initiatives to help streamline daily sales activity.
Reporting to the Sales Operations Manager, you will be a self-motivated, energetic, driven and results-oriented individual. Additionally, you will work closely with lead sales and co-operating brokerages, concierge staff and admin to ensure efficient and accurate tracking and reporting.
RESPONSIBILITIES:
- Achieves sales operational objectives by ensuring end-to-end management of the Agreement of Purchase and Sale (APS) and related documents.
- Helps ensure sales events run smoothly, which requires collaboration with Sales & Marketing teams, sales teams and suppliers.
- Understands terms and conditions set out in the Agreement of Purchase and Sale (APS), Schedules, Amendments, Disclosure and Condominium Documents, as they relate to each Treasure Hill community.
- Helps prepare sales agreements (APS), amendments and any sales related documents for new and existing communities, collaborating with legal, construction, and any other stakeholders.
- Maintains Sales Trackers, ensuring information is accurate and reflects current sales activity, purchaser and agent info, amendments, etc.
- Ensure documents in Docusign are signed by purchaser and executed by Vendor expediently.
- File Management: Ensures Sales Agreements, Amendments and any other sales related documents are up-to-date and saved on the company server.
- Prepares the Agreement of Purchase and Sale (APS), when required to support on-site admin teams.
- Ensures Referral Agreements are accurate, prior to execution.
- Tracking of deposit reports: work closely with sales teams and site admin teams to ensure prompt follow up for any non-sufficient funds (NSF) cheques outstanding.
- Prepare receipt of funds.
- Circulate deposit reports for internal distribution, when required.
- Organize sales materials for weekly sales meeting, including weekly sales reports, maps, outstanding deposit reports, etc.
- Work with site admin teams to ensure broker commissions are circulated shortly after deal goes firm.
- With a high degree of accuracy, ensures lead-brokerage commissions are invoiced correctly, according to terms set out in the executed sales contract.
- Ensures mortgage pre-approvals (MPA’s) are received, at an amount no less than 80% of the total contract price.
- Streamline sales related communications across all departments by ensuring sales trackers and documents are maintained and up-to-date.
- Provide purchasers with copies of sales documents, when requested.
- Respond to sales-related inquiries within a 12-hr period.
- Cultivate positive business relationships with company executives, operational teams, and sales teams.
- Responsible for the set-up of presentation centres.
- Responsible to track sales equipment, i.e. iPads, company phones, laptops, etc.
- Ensure timely receipt of deposit cheques, send to accounting, to ensure cheques are expediently deposited.
- Available to work evenings and weekends in addition to the regular business hours of Monday to Friday.
Sales Office/Presentation Centre Maintenance:
- Prepare Sales Launch Notes for all sales launches.
- Responsible to the set of Presentation Centres.
- Responsible to track sales equipment, i.e. ipads, company phones, laptops, etc.
- Primary Point of Contact: Serve as the primary contact with Site Supervisors to ensure the sales office is in good standing and meeting company standards.
- Cleaning & Maintenance: Manage and verify cleaning schedules to maintain a high-standard presentation centre for customers.
- Inventory Access Management:
- Lockbox Coordination: Coordinate lockbox placement and accessibility for all inventory homes and track access codes for all remaining inventory to facilitate secure and efficient property showings.
- Manage cleaning schedule for inventory homes, as required.
- Update Inventory Home tracker, when required.
Pay: From $60,000.00 per year
