Reporting to the Operations Manger the position is the primary point of contact for Sovereign Lake Nordic Centre members for programs. Applicants must have exceptional communication skills, have a positive attitude and work in a dynamic and often fast-paced collaborative team environment. Other requirements include being prepared for the physical demands of the job and available to work through the holidays.
Work Schedule:
September 14 to October 31 (10-15hrs Week)
November 1, 2026 to April 3, 2027 (35hrs Week, 28hrs at SLNC lodge)
April 4 to May 31 (15hrs Week)
Wage: $26/hr

SKILLS AND QUALIFICATIONS:
- Working knowledge of nordic skiing and ski area operations
- Energetic and outgoing personality
- Experience with online registration and POS systems and other computer software platforms
- Ability to take direction, function independently, and manage multiple tasks and groups
- Demonstrated problem solving skills and ability to think and act independently
- Demonstrated team leadership and supervisory skills
- Ability to function in a team environment
- Demonstrates strong administrative and delegation skills
- Exceptional computer skills (word processing, web, WordPress, Google Workspace, Microsoft Office Suite, and information management)
- Occupational First Aid Level 1 or equivalent is required (Sovereign Lake can provide training)
- Superior written and verbal communication skills in working with team members and the public
- Physically fit – able to lift and/or pull 30 lbs and stand for long periods of time
GENERAL RESPONSIBILITIES:
Leadership and Supervisory
- Ensure prompt communications, preseason recruitment planning, and ongoing Program development and growth
- Manage Programs Database and Coordinate with Coaching/Coordinator Team Leads
- Coordinate with the Operations Manager and Guest Services for Program rentals
- Act as the Program Recruitment Lead
Administrative:
- Program Pre-Season
- Work with the Operations Manager to create a registration platform for all Programs
- Oversee Registration of all program participants and coordinate with appropriate coaches/coordinators to ensure they are in appropriate groups and age groups
- Organize coaching courses with CCBC
- Tracking of all youth and master’s program volunteer coaches and leaders
- Collect Coaches CRC and file them securely
- Manage coach certifications on a spreadsheet following Safesport requirements, updating the Board Safesport Officer annually.
- Member Services (Approximately 3 hrs per day for all service needs)
- Operating POS for ticket sales and retail purchases
- Handling cash and conducting daily cash outs independently
- Assisting with online ticket sales
- Book lessons as required
- Creating, processing & printing of gift certificates
- Ensure effective and organized documentation of rentals and waxing services
- Monitoring, answering and referral of general telephone, web or email inquiries
- Represent frontline staff on a Joint Health and Safety Committee
- Program In-Season (Approximately 4 hrs per day for all program needs)
- Establish and manage volunteer needs in software with Volunteer Coordinator
- Schedule regular Program staff meetings and record minutes
- Manage tracking, expenses, billing, and ensuring payment of program participants
- Ensure all Code of Conduct, photo release, and other documents are signed
- Respond or forward all emails and communications from parents, athletes, and prospective Program participants
- Schedule & book Program Committee meetings
- Assist Program staff and Chair to create agenda for the Program Committee meetings
- Communicate, distribute information, and manage documents on behalf of the Program Committee
- Work with the GM and social media Contractor to manage Social Media Accounts and Program newsletter communications
- Assist the coaching staff with administrative tasks as needed and as time allows
- Create monthly program registration reports and meeting minutes for GM to present to the board
- Develop (in collaboration with all staff) a Program calendar of events, including all training sessions and competitions
Facilities Operations:
- General clean-up, snow shovelling, wood chopping/restocking, and garbage pick-up
- Standard janitorial duties & restocking of product
- Carry out daily maintenance of facilities
- Manage the distribution and maintenance of all Program ski rental equipment & report safety issues to the Operations Manager.
- Oversee the maintenance of SDP supplies and equipment storage in the lower technical building
- Report Program equipment issues or needs to the GM or XC Head Coach
- Operating quads and snowmobiles
- Responding to First Aid Emergencies (often outside for extended periods of time)
- Aiding with clean up or take down of a special program events
- Ensuring appropriate rental equipment is issued to general public
- Coordinate reservation of outbuilding usage for training courses and programs events with the Operations Manager and Guest Services Lead
Member Service:
- Identify service issues in programs, resolve them where possible, and identify chronic systemic, facility, or staffing problems to the Head Cross-Country Coach and General Manager.
- Participating as part of the Memeber & Guest Service team
- Provide friendly and prompt customer service at all times
- Selling tickets, food and merchandise, renting equipment, managing reservations for lessons and special events
- Providing information about products, trails and upcoming events
- Identifying customer service issues and resolving them where possible
- Identifying chronic systems issues or staffing problems and communicating them to the Operations Manager
Communications and Marketing:
- Monitoring, answering, and referring general email inquiries
- Contribute to club and event information to members on our communication platforms/tools,
- Identify and maintain website for program-related information & events
- Work with program coaches to ensure consistent communication in all areas of programs
- Send out race notices to the correct programs once received from CCBC
