The Manitoba Motor Dealers Association is looking for an experienced and highly organized General Program Administrator.
This valued position's main purpose is to help, organize, and support the MMDA to achieve its strategic administrative goals.
Providing foundational support to members, stakeholders and colleagues, the General Program Administrator is responsible for administrative tasks for various programs within the organization. They will provide generalized, and program specific, administrative support for both divisions, MMDA & S2SA. This position is part of a team of centralized professional support staff that perform the organization's core administrative functions.
This role is ideal for someone who enjoys working on a variety of tasks throughout the day and being part of a dynamic, fast-paced environment.
Key Responsibilities
- Serve as a primary point of contact for main line and email, responding to inquiries and providing exceptional customer service.
- Provide administrative support for a variety of MMDA and S2SA programs, projects, and initiatives.
- Maintain and update member records, databases, CRM systems, and communication platforms to ensure accurate information management.
- Support marketing and communications activities, including newsletters, member communications, website updates, and promotional materials.
- Assist with the administration of special projects and funding programs, including application intake, participant support, record keeping, and reporting.
- Coordinate and support member events, meetings, and industry programs through registration, logistics, scheduling, and administrative assistance.
- Organize meetings, prepare agendas and materials, record minutes, and support council and committee activities.
- Provide general office administration, including scheduling, correspondence, document management, office coordination, and other operational support as required.
- Collaborate with colleagues across both MMDA and S2SA to ensure efficient delivery of services and positive member experience.
Qualifications & Skills
- Have 2+ Years' experience in an administrative role, preferably in an office setting.
- Place high value on being organized and detail oriented.
- Have strong time management and organizational skills with the ability to prioritize job responsibilities and manage high volumes of information effectively, particularly as this role supports multiple team members.
- Have superior customer service and engagement ability with exceptional interpersonal, oral, and written communication skills.
- Have the ability to develop and maintain records management systems.
- Have highly developed written and verbal communication skills with the ability to be confident, clear, respectful, and sensitive.
- Have immediate computer literacy, including effective working skills of MS Office (e.g., MS Word, Excel, PowerPoint, Teams and Outlook etc.), videoconferencing platforms and a willingness to learn other technology platforms.
- Have strong people skills and the desire to be a part of a team.
- Can work with minimal supervision in a respectful team environment.
- Have a ‘no job is too small’ attitude and outlook.
Preference given to candidates with the following:
- Familiarity with non-profit organizations.
- Experience in automotive industry.
- Marketing administration knowledge.
