The Penticton Art Gallery presents exhibitions, educational programming, and community engagement initiatives that connect people through art. We acknowledge that we work on the unceded, traditional territory of the syilx (Okanagan) Peoples.
We are seeking a detail-oriented, collaborative Finance & Administration Coordinator to oversee the organization’s day-to-day financial administration while supporting operational excellence. This position is ideal for someone who enjoys working in a mission-driven environment where no two days are the same.
Key Responsibilities
Financial Administration
- Maintain accurate financial records using accounting software
- Process accounts payable and accounts receivable
- Reconcile bank and credit card statements
- Prepare deposits and monitor cash handling procedures
- Manage payroll processing and employee records
- Track operating expenses and departmental budgets
- Monitor organizational cash flow and provide forecasts
- Assist with annual budgeting and financial planning
- Prepare monthly financial reports for the Executive Director and Finance Committee
- Support year-end audit preparation and liaise with external accountants
- Ensure compliance with CRA and regulatory reporting requirements
- Manage quarterly GST and PST reporting, payouts to Gallery Store artists, and submission of financial statements to City of Penticton
Grants & Funding Development
- Assist with grant research and grant writing
- Prepare grant budgets and financial reporting
- Track grant expenditures and reporting deadlines
- Maintain funding documentation and compliance records
- Record donations, maintain donor records, and provide timely acknowledgments
Administration & Operations
- Maintain administrative systems and organizational records
- Assist with contracts, insurance renewals, and policy documentation
- Support HR administration, onboarding, and employee files
- Manage office supplies and administrative purchasing
- Help improve administrative procedures and internal controls
Qualifications
- Diploma or degree in Accounting, Business Administration, Finance or an equivalent combination of education and experience
- Minimum 3 years of bookkeeping or accounting experience
- Experience processing payroll
- Strong knowledge of accounting principles
- Experience with Sage accounting software
- Experience with Shopify is considered an asset
- Excellent organizational and time management skills
- Exceptional attention to detail and accuracy
- Strong written communication skills
- Ability to maintain confidentiality
- Experience working with nonprofits is considered an asset
- Experience with Shopify is considered an asset
- Grant writing or grant administration experience is an asset

Pay: $52,000.00 per year
