Position: Legal and Intake Administrator

We are seeking a reliable and passionate Legal Intake Associate to join our dynamic team and provide high-calibre service both internally and to our clients.
Main Duties and Responsibilities
- Handle incoming calls and respond to website and social media inquiries; conduct outbound client follow-ups as needed.
- Prepare and send client correspondence, including follow-up emails and communications.
- Schedule consultations, coordinate with lawyers, and process client payments.
- Deliver a high level of client service through clear, timely, and professional communication.
- Manage new client intake workflows across the firm, ensuring timely follow-ups and adherence to deadlines.
- Open new files and update existing client files as required.
- Conduct searches for both individual and corporate matters.
- Oversee incoming and outgoing mail, including sorting and distribution.
- Create, maintain, and close client files using the firm’s electronic filing systems.
- Organize and manage electronic documentation within the firm’s database and filing platforms.
- Maintain and monitor calendars, including scheduling and confirming client appointments.
- Provide administrative coverage during staff absences, including billing support and payment follow-ups.
- Perform general administrative duties and additional tasks as required.
Qualifications and Skills
- Minimum 2 years of office or related experience preferred
- Post-secondary education in legal administration, business administration, or a related field preferred
- Strong client service focus and interpersonal skills
- Excellent verbal and written communication skills in English
- Ability to organize, multitask, and work under pressure in a fast-paced environment
- Strong attention to detail
- Technical competency in Microsoft Office suite and Adobe software
- Knowledge of legal practice management software (e.g., Clio) is an asset
