We are seeking a Resident Manager who will be responsible for the day-to-day management and operation of assigned residential property. This role oversees leasing activities, resident relations, and site administration to ensure a safe, well-maintained, and professionally managed community. This position is being offered on a 6-month term and will be located at our beautiful new building in the Orleans area of Ottawa.
Key Responsibilities:
- Coordinate and facilitate resident move-ins and move-outs, ensuring a positive and efficient experience.
- Conduct suite inspections before and after tenancy, documenting deficiencies and coordinating required follow-up.
- Provide exceptional customer service by responding to resident inquiries, concerns, and requests in a professional and timely manner.
- Build positive relationships with residents and promote a welcoming, respectful community environment.
- Collect rent, monitor tenant accounts, and follow up on outstanding balances and arrears in accordance with company procedures.
- Maintain accurate tenant files, lease documentation, and property records.
- Maintain a clean, organized, and professional leasing office and administrative workspace.
- Oversee the day-to-day maintenance and appearance of the property, ensuring a safe, clean, and well-maintained environment.
- Work closely with the Maintenance team to prioritize, monitor, and ensure the timely completion of work orders and maintenance requests.
- Track preventative and reactive maintenance activities and communicate maintenance priorities as required.
- Coordinate cleaning contractors, vendors, and service providers to ensure company standards are maintained.
- Ensure the property's curb appeal, common areas, amenities, and exterior grounds are maintained to a high standard.
- Conduct regular property inspections, including monthly inspections and annual comprehensive building inspections.
- Monitor property operations to ensure compliance with company policies, building standards, health and safety requirements, and applicable legislation.
- Collaborate with Head Office departments, including Operations, Leasing, Maintenance, and Accounting, to support efficient property operations.
- Perform other related duties and responsibilities consistent with the scope and level of the position.
Qualifications and Skills:
- Minimum of 2 years of experience in residential property management or a related role.
- Proven experience in leasing, tenant relations, property operations, and coordinating vendors and on-site service providers.
- Strong understanding of residential tenancy practices, lease administration, and customer service principles.
- Excellent organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills with the ability to build positive relationships with residents, contractors, and internal stakeholders.
- High level of professionalism, discretion, and sound judgment when handling confidential or sensitive matters.
- Strong problem-solving and conflict resolution skills with the ability to address resident concerns effectively and professionally.
- Ability to coordinate maintenance activities, vendors, and competing operational priorities in a fast-paced environment.
- High attention to detail with the ability to maintain accurate records, documentation, and tenant files.
- Proficiency with property management software (Yardi experience is considered an asset) and Microsoft Office applications.
- Ability to work independently while contributing effectively within a collaborative team environment.
- Valid Class 5 driver's licence and access to a reliable vehicle is considered an asset, based on operational requirements.
