Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is vital in supporting daily office operations, ensuring efficient workflow, and providing exceptional customer service. The ideal candidate will possess strong clerical skills, proficiency in various software tools, and the ability to manage multiple tasks with professionalism and accuracy. Experience in a language translation or immigration office setting is a plus. Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette.
- Perform rigorous data entries and maintain accurate records using Microsoft Office, Google Workspace and Adobe.
- Handle filing, document proofreading, and general clerical tasks to support office functions
- Assist with bookkeeping and basic financial recordkeeping as needed
- Provide customer support via phone and email, addressing inquiries efficiently and courteously
- Support appointment scheduling and coordinate calendar management for staff members
- Maintain organized office supplies inventory and ensure the cleanliness of the reception area
Qualifications
- Proven experience in an administrative or clerical role, preferably within a language translation or immigration office
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace and Adobe.
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail for data entry, proofreading, and filing tasks
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to handle multi-line phone systems efficiently and manage front desk responsibilities
- Experience with bookkeeping or basic financial recordkeeping is desirable
- Strong typing skills with high accuracy; familiarity with office procedures is a plus
- Demonstrated ability to prioritize tasks effectively in a fast-paced environment
