Overview
Mainland Masonry is seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support across various office functions, ensuring smooth daily operations. This role requires excellent communication skills, proficiency with office software, and the ability to handle multiple tasks efficiently. Experience with medical or dental offices, bookkeeping, and customer service is a plus.
Duties
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems and organize documents to ensure easy retrieval and compliance
- Provide customer support via phone, email, and in person, addressing inquiries promptly and professionally
- Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
- Proofread documents for accuracy and clarity before distribution
- Coordinate administrative tasks such as copying, scanning, and preparing reports as needed
- Maintain a clean and organized work environment to promote efficiency
Requirements
- Proven clerical or administrative experience in an office setting
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong computer skills with the ability to learn new software quickly
- Experience with QuickBooks or bookkeeping is preferred
- Excellent organizational skills with attention to detail
- Strong typing skills and proficiency in data entry and proofreading
- Previous experience in customer service or front desk roles, especially in medical or dental offices is advantageous
- Knowledge of multi-line phone systems and good phone etiquette
- Ability to handle multiple tasks simultaneously while maintaining professionalism and accuracy
- High school diploma or equivalent; additional administrative training or certification is a plus
- Masonry or experience in construction is an asset and will be considered
- Job can be hybrid with some time in office and home/may need to complete errands as needed
Job Types: Full-time, Permanent
Pay: $28.00-$30.00 per hour
Work Location: Hybrid remote in Langley, BC
