Position Summary:The Executive Assistant / Manager on Duty provides direct administrative and operational support to the General Manager while also assuming leadership of the hotel in the absence of senior management. This role is responsible for ensuring efficient day-to-day operations, supporting team members, and maintaining high standards of guest service and compliance with hotel policies and procedures.
Key Responsibilities:
Executive Assistant Duties:
- Provide administrative support to the general manager, including calendar management, meeting coordination, and correspondence
- Prepare reports, presentations, and internal communications as required
- Maintain accurate records, files, and documentation related to hotel operations
- Assist with project coordination, departmental follow-ups, and execution of operational initiatives
- Handle confidential and sensitive information with discretion and professionalism
- Support recruitment, onboarding, and hr-related administrative tasks as needed
- Liaise with department heads to ensure alignment on priorities and deadlines
Manager on Duty Responsibilities:
- Act as the primary point of contact and decision-maker in the absence of the general manager and department leaders
- Oversee daily hotel operations to ensure smooth and efficient service across all departments
- Respond to guest concerns, complaints, and escalations in a timely and professional manner
- Ensure all hotel policies, procedures, and brand standards are followed and consistently enforced
- Monitor staff performance, provide guidance, and support team members as needed
- Address operational challenges and make sound decisions in a fast-paced environment
- Ensure a safe, secure, and well-maintained environment for guests and staff
Leadership & Team Support:
- Provide leadership, direction, and support to team members across departments
- Promote a positive workplace culture focused on teamwork, accountability, and guest satisfaction
- Assist with training, coaching, and development of staff
- Communicate effectively with all departments to ensure operational alignment
Qualifications & Skills:
- Previous experience in hotel operations, hospitality management, or a similar leadership role
- University degree in a business management program preferred
- Strong understanding of hotel policies, procedures, and service standards
- Excellent organizational, multitasking, and time management skills
- Strong problem-solving and decision-making abilities
- Professional communication and interpersonal skills
- Ability to work flexible hours, including evenings, weekends, and holidays as required
