THE ROLE
Reporting to the Service Manager: The Heavy-Duty Service Advisor is responsible for assisting customers with their service needs, providing technical support and recommendations, managing service orders, and ensuring high-quality customer service in the repair and maintenance of heavy-duty vehicles and equipment. The advisor is the bridge between the customers and the technicians, ensuring that service work is completed on time, within budget, and to the highest quality standards.
WORKING HOURS:
This is a full-time permanent position.
The working hours will be Monday to Friday: 7:00 AM to 4:00 PM and scheduled Saturdays as needed from 7:00 AM to 12:00 PM.
KEY RESPONSIBILITIES
Service Coordination:
- Create, update, and close service orders.
- Refer to labour times using Alldata, Michell etc.
- Provide customers with accurate estimates for parts, labor, and overall service costs.
- Responsible for reviewing technician work orders and finalizing service estimates.
- Schedule and coordinate repairs, maintenance services, and inspections for heavy-duty vehicles and equipment.
- Track the progress of each service job, ensuring that timelines are adhered to, and any issues are resolved quickly.
- Enter, Coordinate and Manage Work orders with client portal (Element, ARI, etc.)
Technical Communication:
- Communicate effectively with technicians and mechanics regarding the status of repairs and services.
- Translate technical information into clear, understandable terms for customers.
- Review repair orders, parts requests, and technician notes to ensure completeness and accuracy.
Documentation & Reporting:
- Maintain accurate records of all customer interactions, service orders, and work performed.
- Prepare and submit reports to management regarding service department performance, customer feedback, and issues requiring attention.
Parts Management:
- Coordinate with parts department to ensure necessary parts are ordered, received, and available for scheduled services.
- Advise customers on parts availability and delivery timelines.
Customer Satisfaction & Follow-Up:
- Ensure customers are fully informed about the status of their service and any potential delays or issues.
- Handle customer complaints with integrity and poise, and when necessary, referring customers to the appropriate individual for resolution.
- Follow up with customers after service completion to ensure satisfaction and address any additional concerns.
- Develop long-term relationships with customers to encourage repeat business.
QUALIFICATIONS AND EXPERIENCE:
- High school diploma required.
- 3+ years in an Automotive or Heavy-Duty service advisor role.
- Dependability and attention to detail.
- Ability to learn quickly and to work independently.
- Strong organizational skills.
- Ability to plan and manage multiple projects.
- Excellent analytical and communication skills.
- Self-motivated.
