JOB SUMMARY
The Orders Coordinator is to ensure order processing and outbound deliveries are completed
promptly and accurately while managing customer accounts and ensuring that documentation is
filed and kept up to date.
DUTIES AND RESPONSIBILITIES
- Set up new customer accounts (send forms, create customer cards, ensure forms received
are complete and sent to online site).
- Run reports upon request.
- Become a super user of the Dex ordering portal and be able to train other employees as
required.
- Process packing slips and invoices for outbound shipments.
- Verify all client data for completeness and accuracy prior to packaging and invoicing.
- Receive, review and process orders using NAV and other systems as necessary.
- Prepare necessary documentation and labels for order processing.
- Coordinate with patient support programs to ensure client needs are met.
- Receive all incoming calls for Dex Medical Distribution regarding account management,
order status, and account payments.
- Follow up with past due accounts for Dex Medical Distribution.
- Monitor and process faxes received, incoming orders, and various customer requests.
- Participate in GMP (Good Manufacturing Practices) training on an annual basis.
- Participate in training for Dex Quality System.
- Handle complaints and manage escalation calls.
- Track shipments and notify client of order status.
- Review & file outbound documentation.
- Act as a system administrator for ordering portals, which includes managing customer
accounts, updating inventory levels, and updating shipping order status.
- Perform other duties as required.
Responsibilities Specific to Warehouse and Dex Staff are as follows:
- Willingness to work for extended periods in cold environments (walk-in coolers) while
handling and packaging pharmaceutical products.
- Ability to maintain focus, attention to detail, and adherence to GMP or applicable
regulatory guidelines, while working in temperature-controlled settings.
- Physical stamina to handle repetitive tasks in cooler conditions, including the use of
appropriate PPE.
Qualifications:
QUALIFICATIONS
- Completion of post-secondary education in pharmacy, medicine, dentistry, veterinary,
medicine, pharmacology, organic chemistry, or chemical engineering.
- A minimum of two years in customer service, ideally in a high order processing environment
is preferred.
- Knowledge of Good Documentation Practice (GDP) is preferred.
Language Skills
- Ability to read and interpret documents such as billing documents.
- Must be able to communicate in both French and English; strong verbal and written skills as
required.

- Familiarity with Good Manufacturing (GMP) or applicable Regulatory Guidelines,
particularly regarding temperature-controlled storage and handling of pharmaceutical
products (a must requirement for Warehouse and Dex employees).
- Employees working in warehouse operations are required to wear and properly use all
essential or required personal protective equipment (PPE) as outlined by their department
leader and in accordance with the employer’s safety requirements. This obligation applies
to current PPE requirements and any future revisions necessary to maintain compliance
with applicable occupational health and safety legislation and regulations.
