Administrative Front Desk Coordinator

We are a busy, client-focused wellness clinic dedicated to providing exceptional care and outstanding customer service. We are seeking a friendly, organized, and professional Administrative Front Desk Coordinator to be the welcoming face of our clinic.
Position Overview
As the first point of contact for our clients, you will play a key role in creating a positive experience from the moment they walk through the door. This position requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
- Greet and assist clients in a warm and professional manner
- Answer phones, emails, and client inquiries
- Schedule and manage appointments using Jane App software
- Process payments and maintain accurate client records
- Submit and reconcile direct billing claims to insurance providers
- Verify insurance coverage and assist clients with billing inquiries
- Maintain client confidentiality and clinic documentation
- Keep the reception area organized, professional, and welcoming
- Assist practitioners and management with administrative tasks
- Manage inventory and order office supplies as needed
- Maintain the cleanliness of the clinic
Qualifications
- Minimum 1–2 years of administrative, reception, or customer service experience
- Experience using Jane App clinic management software is required
- Experience with direct billing and insurance claim processing is required
- Strong computer skills and proficiency with Microsoft Office and Google Workspace
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to multitask and work efficiently in a fast-paced environment
- Professional, dependable, and client-focused attitude
- Experience in a healthcare, massage therapy, chiropractic, physiotherapy, or wellness clinic is considered a strong asset
