Position Overview
This contract position works collaboratively with the Education Support team and the Director of Outreach to support families and volunteers across all program channels. The role carries primary responsibility for learners in the middle and junior high school grade levels, and brings demonstrated experience in learning resource design, individualized program planning, evidence-based instructional strategies, school advocacy, and fostering supportive relationships with children, parents and volunteers. The role supports the full learner cycle: intake and matching, learner profile meeting, learning plan development, learning resource coordination, tutor support, school advocacy, session summary review, and structured off boarding. As Kids Cancer Care prepares to codify its program delivery model, this specialist contributes to a team-wide effort to build and document delivery systems, protocols, and toolkits — a shared responsibility across the full Education Support team.

Tutoring Program
Key Roles
In collaboration with the Education Support team:
- Support the intake of new families to the program, K–12, maintaining accurate and up-to-date family records.
- Consult with families to understand each learner’s unique strengths and needs, review and interpret educational records when available, and select the best possible tutor match.
- Generate a concise Learner Profile and design a detailed Learning Plan for tutor use, including personalized, targeted strategies and specific resources.
- Compile individualized learning supplies (Learning Kits) for tutor, learner, and family use.
- Contribute to team-wide codification of program delivery documentation, including the Program Delivery Manual, match management protocols, and IPP and School Advocacy Toolkit, ensuring program delivery is consistent, and transferable. This work is a shared team responsibility and a current program priority.
- Complete annual participant reviews for each enrolled learner to assess whether continued enrollment is aligned with program criteria. Reviews evaluate current academic needs, program fit, learner and family goals, and readiness to transition to independent or school-based support. Outcomes and recommendations are documented in the database management system.
- Apply a structured off-boarding and transition protocol for learners completing the program. Exits are treated as resiliency milestones.
- Educate, mentor, and provide ongoing support and supervision to volunteer tutors through meetings, emails, Tutor Collaboration Sessions and direct coaching.
- Monitor learner progress, reviewing tutor Session Summaries, checking in with tutors and parents and log outcomes to support program-level reporting.
- Deliver one-to-one support to parents as needed, including referral to educational resources and connection to volunteer tutors.
- Consider the wellbeing and safety of all participants, offer a compassionate and trauma informed response, adhere to Kids Cancer Care policies, and implement risk management processes.
- Collaborate with KCC staff regarding families, programs, and related matters.
Assisting Roles
- Contribute to the formalization of cross-program referral pathways from KCC Child Life, teen leadership, and psychosocial programming to ensure consistent, documented referral to the education program from every KCC entry point.
- Regularly review current evidence-based educational research and pediatric oncology information; compile or generate high-quality learning resources for family and tutor use across all grade levels.
- Co-facilitate tutor and family workshops or meetings and contribute meaningful content.
- Assist the Education Support team in evaluating program impact through learner, parent and tutor feedback and surveys; track results to support consistent reporting.
- Review and analyze program outcomes and evaluation data to adapt to the tutoring program and its resource/program development.
- Contribute to the creation and delivery of info sessions about the tutoring program for staff, the Board of Directors, the Advisory Committee, and community agencies.
- Maintain awareness of the needs of young people affected by childhood cancer and their families, particularly related to short- and long-term effects on learning, education, and family wellbeing.
- Ensure Kids Cancer Care policies and guidelines are adhered to across all programs.
- Represent Kids Cancer Care in public interactions with volunteers, families, donors, and other stakeholders.
- Establish and maintain working relationships with educational professionals, Calgary and area schools, Alberta Children's Hospital staff, and related community agencies.
- Work flexible hours, with potential evening and weekend work.
- Maintain confidential documentation of KCC children and families, ensuring accurate and current records in the database system.
- Assist with collecting and tracking program data and monitoring program outcomes.
Education and Experience
- Degree in Education or equivalent experience teaching or tutoring across K–12 grade levels.
- Minimum of five years’ work experience in an educational setting with knowledge in both online and in-person delivery methods.
- Demonstrated experience in resource/program development, individualized learning plans, or instructional materials across middle, junior, and high school grade levels.
- Demonstrated experience contributing to program documentation, standardization projects, or process-building work in a team environment, including participation in building delivery manuals, protocol libraries, onboarding materials, or training resources from first principles, not simply maintaining existing documents.
- Experience designing or applying structured frameworks for learner assessment, program transitions, or off-boarding, evidence of having built or contributed to a system, delivered within one.
- Working knowledge of Microsoft Office (Outlook, SharePoint, Word, Excel, Teams) and experience using a client database system to manage family and participant records.
- Certificate or training in trauma-informed care is an asset.
Industry Knowledge
- Must have experience working with children with specialized health or learning needs.
- Teaching and/or tutoring experience across a range of grade levels.
- Strong knowledge of numeracy and literacy across the elementary-to-secondary transition.
- Must have experience working with and supporting parents in stressful circumstances.
- Experience conducting structured needs assessments or participant reviews in a program context, the ability to make and document a principled recommendation about a learner's program status.
- A growing knowledge of childhood cancer and related cognitive and neuropsychological late effects.
- Excellent oral and written communication skills, including the ability to document and codify processes and program materials for use by staff and volunteers.
- Strong command of Zoom tools, including meeting orchestration, screen sharing and audio/video troubleshooting.
- Experience using a Customer Relationship Management database or case management system to track participant records, progress, and outcomes.
- Mature and well-organized individual who can lead and support teams of adult volunteers.
- Demonstrated ability with computers and relevant software.
- Ability to work flexible hours, including evenings and weekends.
- Experience working with families of children affected by cancer is a strong asset.
Other Requirements
- Must provide a current Criminal Records Check, including vulnerable sector screening.
- Valid driver's license and access to a reliable personal vehicle for work use.
