Fi3 is a consulting firm working in the impact real estate sector. Our expertise focuses on the development of innovative business models, public policy, investment strategy, and real estate development. We work with public, private, community, and philanthropic stakeholders at every stage of urban development.
This position will be dedicated fully to a countrywide initiative via a new corporation to be disclosed to the selected interviewees (i.e. the Organization).

By bringing together expertise in public policy, communications, investment, and partnership development, the organization supports initiatives that strengthen communities. The organization oversees the administration and monitoring of loans, grants, and other funding programs, ensuring sound financial management, accountability, compliance, and effective deployment of capital to achieve social outcomes.

About the Role
The Business Operations Manager is responsible for ensuring the organization runs smoothly, efficiently, and with exceptional coordination.
Working closely with the executive team, this role serves as the operational hub of the organization—keeping people, projects, priorities, and day-to-day operations running smoothly. The Business Operations Manager ensures executives are supported, organizational commitments stay on track, administrative functions are delivered to a high standard, and the systems behind the organization's work continue to evolve as the organization grows.
Operating at the intersection of operations, project management, finance, and organizational planning, the Business Operations Manager develops practical solutions that improve efficiency, increase accountability, and support a growing organization.
Success in this role requires someone who enjoys creating order from complexity. Equally comfortable coordinating an executive team as they are designing organizational processes, the successful candidate is highly organized, proactive, detail-oriented, and thrives on helping others work more effectively.
Key Responsibilities
Organizational Operations & Executive Support
· Coordinate day-to-day organizational operations to ensure priorities, projects, and deliverables remain aligned.
· Provide high-level administrative support to the executive team, including complex calendar management, meeting coordination, scheduling, and logistics.
· Coordinate national travel, accommodations, and itineraries for staff, Board members, and organizational meetings.
· Prepare meeting materials, agendas, presentations, and briefing packages.
· Track organizational commitments, deadlines, and follow-up items to ensure work progresses on schedule.
· Serve as the central coordination point across the organization, ensuring the right people, information, and decisions come together at the right time.
· Coordinate Board and committee logistics as required.
· Maintain organizational records, filing systems, and document management processes.
Financial & Administrative Operations
· Maintain vendor records and coordinate contracts and renewals.
· Support annual audits and financial reporting processes.
· Coordinate procurement and office administration.
· Ensure organizational records, policies, and operational documentation remain current and well organized.
Process Improvement & Organizational Systems
· Develop, document, and continuously improve standard operating procedures (SOPs).
· Identify opportunities to improve efficiency and reduce administrative burden.
· Build workflows that support a growing organization.
· Recommend and implement technology solutions, including the integration of AI best practices in support with external counsel.
· Develop organizational templates and internal guidance documents.
Organizational Coordination
· Coordinate organization-wide initiatives involving multiple teams.
· Monitor workplans and timelines.
· Support onboarding and operational implementation.
· Identify operational risks and recommend solutions.
· Help leadership understand organizational capacity and competing priorities.
Required Qualifications
· Minimum five years of experience in operations, business management, project management, organizational development, or a related field.
· Demonstrated experience supporting senior executives in a fast-paced environment.
· Exceptional administrative, organizational, and time-management skills.
· Proven ability to manage multiple competing priorities with accuracy and discretion.
· Strong financial administration skills, including experience with expense reconciliation, invoice processing, or bookkeeping.
· Strong written and verbal communication skills. Understanding of French an asset.
· Advanced proficiency with Microsoft 365 and common business software platforms.
· Ability to work independently while building strong collaborative relationships across remote teams.
· High degree of professionalism and sound judgment when handling confidential information.
