Position Summary:
The Volunteer Support Coordinator supports 4-H British Columbia Leaders and Volunteers at all levels. The Volunteer Support Coordinator supports volunteers with leader and volunteer recruitment, enrolment, training, tracking, support, and retention of Leaders and Volunteers. This role will also provide Regional Council Support and New Club Support.
Responsibilities and Duties:
1. Leader and Volunteer Enrollment
· Manage and maintain the leader/volunteer enrolment system
· Support leaders and volunteers in completing required items (training, CRC, etc.)
· Maintenance of the leader/volunteer training tracking program
2. Leader Support and Youth Safety
· Issue insurance certificates as requested, able to answer insurance questions
· Review and approval of submitted activity plans
· Support clubs that are below threshold or not in good standing (i.e. following up on documentation, building enrolment, advertising, and recruitment)
· Supports leader and volunteer screening program, working with Privacy Officer
· Supports leader training through webinars, round tables, and in-person training sessions
· Support Marketing Coordinator with Youth Safety communications (twice per year)
3. Regional Council Support
· Support regional councils in maintaining good standing by tracking the receipt of annual registrations, financial reports, and other required documents
· Attend at least two regional council meetings per region, per year (one must be AGM)
· Support each regional council to set their annual calendar/schedule
· Develop and maintain regional council handbook
· Review updates to region specific policies, submit to Provincial Council for approval
· Support Program Coordinator with regional event logistics as required
4. New Club Support
· Support all new and potential new clubs through the “start a club” process
· New Club training and support sessions x 6/year for clubs less than 3 years old
· Develop and maintain “New Club” manual
· First point of contact for new club start up, including pilot programs and underserved community clubs
- Provide guidance, leadership, encouragement and support to new clubs, members and leaders through virtual visits, workshops, letters, phone calls, etc
5. Other Administrative Support
· Cover and support the Administrative Support Coordinator
· Support Program Coordinator and Executive Director with program logistics as required
· Other duties may be assigned as required
Qualifications
· Experience in managing volunteers, volunteer coordination, or HR experience
· Experience with the 4-H BC program or similar Positive Youth Development organization
· Strong organizational and time management skills
· Ability to communicate effectively, verbally and written
· Proficient with Microsoft 365
· Ability to work independently and collaboratively
· Ability to occasional evenings and weekends
· Valid BC driver’s license
Pay: $22.00-$25.00 per hour
