A specialist medical clinic in the Toronto/GTA area is seeking an experienced, highly organized, fast, and professional Medical Office Assistant / Front Desk Coordinator to join our team on a full-time basis.
Candidates must be comfortable handling a high volume of patients, phone calls, referrals, scheduling, EMR tasks, and physician support in a fast-paced environment. Candidates without prior experience working in a busy doctor’s office or Canadian medical clinic should not apply.
Required Experience & Qualifications
- Prior experience working as a Medical Office Assistant, front desk staff, or administrative assistant in a busy Canadian medical clinic
- Experience in a specialist clinic setting is strongly preferred
- Strong verbal and written English communication skills
- Excellent phone manner and professional patient communication
- Ability to work quickly, efficiently, and accurately in a busy clinical environment
- Comfortable managing multiple tasks at once without becoming overwhelmed
- Strong attention to detail and ability to follow clinic processes carefully
- Experience with EMR systems; TELUS CHR or similar EMR experience is an asset
- Familiarity with referrals, appointment scheduling, patient intake, faxing, scanning, uploading documents, and clinic inbox management
- Comfortable using computers, email, scanners, printers, online forms, and digital scheduling tools
- Reliable, punctual, mature, and professional
Key Responsibilities
- Answering phones and responding to patient inquiries professionally
- Scheduling, confirming, and managing patient appointments
- Managing referrals, faxes, emails, and EMR inboxes
- Registering patients and ensuring demographic information is accurate
- Uploading, scanning, and organizing documents in the EMR
- Supporting physicians and clinical staff with day-to-day clinic flow
- Coordinating patient forms, requisitions, prescriptions, and follow-up instructions
- Communicating with referring offices, pharmacies, laboratories, and diagnostic centres
- Maintaining a clean, organized, and professional front desk environment
- Helping ensure smooth, efficient patient flow throughout the clinic day
