Job Summary
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, attention to detail, and proficiency with office software. Experience in legal office setting is a plus, but not required. The Receptionist will play a vital role in maintaining a welcoming environment and supporting daily office operations.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Answer multi-line phone systems promptly and professionally, directing calls as needed
- Manage appointment scheduling using software such as outlook, Google Workspace, or other office management tools
- Perform data entry and maintain accurate records through filing and documentation processes
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Assist with administrative tasks such as proofreading documents, organizing files, and managing calendars
- Support front desk operations by managing visitor check-ins and providing customer support
- Coordinate with team members to ensure smooth office workflow and efficient communication
- Maintain cleanliness and organization of the reception area to uphold a professional appearance
- Do banks runs and court runs as and when needed.
Experience
- Prior clerical or administrative experience preferred, preferably in legal office
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and customer service roles is highly desirable
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Proficiency in typing, data entry, proofreading, and basic bookkeeping tasks is advantageous
- Excellent phone etiquette and professional communication skills are essential
- Previous experience in legal office environment is a plus but not mandatory; training will be provided for specific software or procedures
- Must have a vehicle and valid driver‘s license.
Pay: $37,000.00-$45,000.00 per year
