Administrative Assistance - Office & Operations
Company Background:
For busy construction company located in Burlington.
Responsibilities:
- Greet visitors, customers, vendors and staff in person and on the phone in a professional courteous manner.
- Answer and manage a multi-line phone system, screen and direct calls and distribute messages.
- Receive, sign for, date stamp and distribute incoming mail, courier packages and deliveries,
- Prepare courier waybills and ensure all outgoing packages/envelopes are picked up by the requested delivery time.
- Scan, file, organize and maintain electronic and hard-copy records for various departments.
- Maintain office common areas, meeting rooms, reception areas, kitchen facilities, ensuring they remain clean, organized and well stocked.
- Assist with data entry, document preparation, correspondence, and general administrative duties.
- Assist with scheduling meetings, appointments, training sessions, and maintaining shared calenders.
- Assist with maintaining and updating company websites, social media platforms, marketing materials, and internal communications
- Obtain pricing and quotations from suppliers, subcontractors, and service providers as requested.
- Prepare purchase requisitions, coordinate material orders, and track deliveries for office and field operations.
- Assist with utility locates, permits, and related documentation to support field crews and project requirements.
- Assist with project administration, including tracking project documentation, permits, inspection reports and contract documents.
- Coordinate travel arrangements, accommodations, meeting facilities, and company events as required
- Provide administrative and operational support to the Executive Management Team, including assisting with special projects, reports, research, and company initiatives.
- Liaise with field personnel, suppliers, customers, subcontractors, and management to facilitate effective communication and operational efficiency.
- Perform a variety of administrative, clerical, and operational support duties necessary to ensure the efficient operation of the organization.
Prerequisites:
- Minimum 2 years of administrative experience, preferably in construction, transportation, manufacturing, or a related industry.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Strong organizational, multitasking, and communication skills.
- Ability to work independently and prioritize competing deadlines.
- Professional, customer-service-oriented attitude. spirit.
