Position Summary:
- The Administrative Assistant, in accordance with the agency’s policies, standards, and guidelines, performs a range of administrative duties for the NP Clinic including HART Hub services. This position will support the NP Clinic/MD’s to expand and integrate outreach-informed primary care with other health and social services delivered by CMHA SCB and community partners.
What You'll Do:
- Ensure that reception and administrative services are provided at all times in the NP Clinic during office hours, including triage, and coordination of communication between NP Clinic, HART Hub services, community partners and clients.
- Support individuals seeking service by providing internal/external referral pathways.
- Provide reception for NP Clinic and HART Hub primary care services including screening and directing calls; and receiving clients and visitors.
- Communicate effectively and professionally in person, over the phone and through digital communication methods.
- Receive all clients and visitors to the NP Clinic and HART Hub Outreach services as necessary with a respectful, caring attitude.
- Ensure all discussions with NP clients (including HART Hub clients) are handled in a sensitive manner and that the appropriate staff member are alerted to any variable situations.
- Distribute appropriate information on the operation of CMHA services, NP Clinic and HART Hub as required.
- Ensure that administrative needs of the NP Clinic (including HART Hub outreach) are met including: design and maintain forms, correspondence, treatment plan material, client files, staff schedules, etc.)
- Input lab requisitions, reports and NP and psychiatrist notes into EMHware as needed.
- Handle NP clinic / HART Hub outreach documentation and accompanying client information with a high level of confidentiality.
- Assist nursing staff in ordering supplies and communicate with pharmacies/laboratories.
- Support budget tracking and manage inventory requirements to ensure operational needs are met efficiently and within allocated resources.
- Prepare requests for medical records/client authorization and maintain a log of requests and records received.
- Prepare monthly staff work schedules, recommend and revise policies/procedures pertaining to these schedules in accordance with the Ministry of Labour & Employment Standards Act.
- Facilitate internal communication amongst and between NP Clinic and HART Hub Outreach staff.
- Maintain an efficient filing system for all clinical/medical records.
- Other tasks as required by NP.
Required Qualifications:
- Minimum Grade 12 Diploma with demonstrated abilities in the above mentioned areas.
- Five (5) years combined post secondary education and experience or,
- Five (5) years experience directly related to this position.
- Strong working knowledge of the Landlord and Tenant Board, including relevant legislation, processes, and procedures is considered an asset.
- Experience in social services (community-based setting preferred).
- Must have access to a vehicle, a valid Ontario driver’s license, and adequate automobile insurance.
- Fluency in French or another second language would be an asset.
- Legally entitled to work in Canada.
Salary Scale:
- Admin Assistant: $39,585-$45,646*per annum
HOURS OF WORK:
- Thirty-five (35) hours per week, Monday to Friday.
- Able to work within a flexible framework to respond to client needs.
