What You'll Be Doing
No two days look exactly the same, but your responsibilities will include:
Office Administration
- Welcome visitors and create a positive first impression for employees, clients, and guests.
- Answer phones and manage front desk responsibilities.
- Coordinate incoming mail, courier deliveries, and general office correspondence.
- Monitor shared inboxes and respond to inquiries.
- Assist with meeting coordination, agendas, minutes, and action item tracking.
- Support leadership with reports, presentations, and administrative projects.
Scheduling & Coordination
- Coordinate calendars, meetings, travel, and appointments.
- Help keep leadership organized by tracking deadlines and following up on outstanding action items.
- Support internal communication and scheduling across departments.
Documents & Data Management
- Maintain accurate records within company systems and databases.
- Perform data entry and spreadsheet updates.
- Prepare professional documents using company templates, including forms, policies, presentations, signage, and fillable PDFs.
- Organize digital and physical filing systems.
- Assist with communication lists and document preparation.
Office Operations & Administration
- Manage office supply inventory and place orders as needed.
- Coordinate employee apparel, business cards, branded materials, and promotional items.
- Prepare onboarding packages and documentation for new employees.
- Assist with maintaining Health & Safety documentation, training records, PPE inventory, and compliance tracking.
- Help coordinate internal meetings, employee recognition initiatives, celebrations, and company events.
- Maintain clean, organized, and welcoming shared office spaces, including kitchens, boardrooms, and common areas.
- Support the day-to-day administrative needs of multiple departments as required.
Qualifications & Skills
- Post-secondary education in Business Administration, Office Administration, or a related field, or equivalent experience is preferred
- 2+ years of experience in an administrative, office coordination, or project support role
- Strong organizational skills with high attention to detail and accuracy
- Proficiency in Microsoft Office (Outlook, Word, Excel); experience with document management systems is an asset
- Ability to manage multiple priorities in a fast-paced, team-based environment
- Clear and professional written and verbal communication skills
- Experience in a construction, restoration, or project-based environment is an asset
