Senior Office Administrator
Located in Toronto, Golden Falcon Homes is experienced in building attractive, safe, and sustainable buildings primarily focused on the residential homes, high-rise, and commercial properties. We are looking for a dynamic, team-oriented, self starter to join our growing team.
This position of Office Administrator will report directly to the Office Manager and work closely with the senior management team and is responsible for supporting all administrative tasks in the office.
Responsibilities:
· Provide administrative support as needed to office manager and senior management team
· Format, proofread, and convert Word documents into PDF’s
· Set up of electronic or paper files, revise marked-up client documents, maintain contact lists and filing system, copying, binding, scanning
· Create client files in accordance with company procedures
· Scan documents and save files to the company’s document management system
· Prepare digital material for external communication which includes interactive mailers, evites and newsletters
· Answers incoming calls and greet visitors at the office
· Act as a representative and first point of contact for prospective clients and vendors
· Develop and maintain client/customer-focused relationships with all stakeholders
· Mail and courier packages (collection, distribution, preparing, processing, etc.)
· Prepare presentation materials, brochures, or documents, as required by management
· Manage the company budget within the office (supplies, expenses, etc.)
· Create expense or other reports
· Take meeting minutes and prepare meeting summaries
· Generate and assist in the preparation of regularly scheduled reports
· Submit and reconcile expense reports
· Research and create presentations
· Maintain office supplies and relationships with facility vendors such as internet, and mobile providers, etc.
· Seek out and make recommendations for process improvement
· Support with technology by troubleshooting issues with computers, printer, phones etc.
· Responsibilities and duties may change, or additional duties/responsibilities may be assigned at any time.
Minimum Qualifications
Education
· University Degree or related Community College Diploma is preferred equivalent education and job-related experience
Experience
· 2-3 years’ experience as an Office Administrator (preferably in the construction industry)
Skills, Competencies and Software experience
· Strong work ethic, self-motivated, and results-driven
· Excellent written and verbal communication skills
· Excellent organizational skills and problem-solving competencies
· Possess poise and confidence with the ability to work independently
· Multitasking and time-management skills, with the ability to prioritize tasks
· Tactful and diplomatic with sound judgement, discretion, and the ability to express ideas clearly to the team and senior management
· Strong communication, interpersonal skills and relationship building competency
· Hands-on experience with office equipment (e.g., fax machines and printers)
· Must be proficient in Microsoft Excel, Word, Outlook, and PowerPoint
· Working knowledge of Foxit PDF
· Experience using Microsoft Teams & Zoom
· Real Estate Sales and Marketing experience is an asset
· Driver’s Licence is preferred
