About the Role
The Client Services Scheduler plays a key role in supporting the daily operations of a busy
social service agency. This position focuses heavily on scheduling, calendar management, and
coordinating staff and client supports. The ideal candidate is organized, detailoriented, and
comfortable working in a fastpaced, clientfocused environment.
This is a parttime role (up to 30 hours weekly) with the potential for flexibility depending on
agency needs.
Key Responsibilities
Appointment Scheduling: Coordinate and maintain schedules for staff, clients, and
programming needs.
Calendar Management: Update and monitor shared calendars to ensure accuracy and
avoid conflicts.
Client Coordination: Communicate with clients, caregivers, external resource providers,
to confirm, adjust, or follow up on requested supports.
Staff Support: Assist team members with scheduling needs, reminders, and logistics.
Data Entry: Maintain accurate records in scheduling systems as well as casemanagement
systems.
Communication Support: Relay schedule changes promptly to staff, clients and
caregivers.
Office Coordination: Provide light administrative support as needed (phones, emails,
documentation), while working collaboratively with the Office Manager.
Required Qualifications
Scheduling Experience in a socialservice, healthcare, community, or highvolume
environment.
Strong proficiency with calendar software programming (Google Calendar, Outlook, or
similar).
Excellent communication skills: clear, professional, and clientcentered.
High attention to detail and ability to manage multiple priorities.
Experience working with vulnerable populations and maintaining confidentiality.
Ability to Prioritize Tasks: Demonstrated ability to assess incoming requests and
determine what requires immediate attention.
Preferred Qualifications
Experience working in a social services environment.
Familiarity with scheduling systems.
Ability to work independently with minimal supervision.
Completion of work that is free from errors
Work Schedule
Up to 30 hours per week
Some flexibility in scheduling times and location (on site and hybrid) may be available
Pay: $17.20-$22.00 per hour
