At Inner Voice Therapy, we are more than a clinic, we are a culturally attuned, growth-oriented mental health space dedicated to helping individuals and couples reconnect with their inner voice.
As we continue to grow, we are looking for a reliable and proactive Administrative Assistant who can support the day-to-day operations of the clinic and help create a smooth, professional, and welcoming experience for both clients and clinicians.
Work Structure
This is a hybrid role (once a week or every two weeks). While most tasks can be completed remotely, you must be based in Mississauga and available to come into the clinic when needed.
Key Responsibilities
- Manage client bookings, scheduling, and cancellations through JaneApp
- Respond to emails, inquiries, and phone calls in a timely and professional manner
- Support clients with intake forms, consent forms, and general onboarding
- Ensure client records and documentation are accurate and up to date
- Assist with billing, invoices, and payment processing
- Communicate with clinicians regarding schedule updates and client needs
- Maintain organization of administrative systems and workflows
- Support the Clinic Manager and Therapists with day-to-day operational tasks
- Help maintain a high-quality client experience aligned with clinic values, vision and mission
Required Qualifications
- Strong organizational and time management skills
- Ability to work independently and take initiative
- High attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite, Canva, JaneApp, and Instagram
- Comfortable using or learning platforms such as Slack, and Google Drive
Preferred Qualifications
- Previous experience in an administrative or clinic setting
- Experience in mental health or healthcare environments
- Familiarity with JaneApp,
- Familiarity with using Canva and Instagram for Content Creation
- Basic understanding of billing and client coordination
