We are looking for an energetic, motivated individual who thrives in a fast-paced environment to support our busy clinical team and management. This position currently requires coverage for Saturday shifts, with the schedule evolving as follows:
- Immediate – August: Casual / On-Call. Initial training and weekend/Saturday shift coverage, with occasional weekday shifts on an as-needed basis.
- September: Transition. Your hours will increase as you work closely with our current front-desk team member to smoothly take over regular duties.
- October Onward: Maternity Leave Cover. You will transition into regular weekly scheduled shifts (including Saturdays) for the duration of the maternity leave coverage.
Key Responsibilities
Client Experience & Front Desk Operations
- Greet and assist clients and team members in a calm, welcoming, and consistently professional manner.
- Answer incoming calls, handle client inquiries, and diligently manage voicemail messages.
- Ensure all clients accurately complete their intake forms prior to their initial appointments.
- Schedule, confirm, and optimize appointments according to both client and therapist needs.
Financial & Administrative Support
- Create invoices, process client payments, and track reimbursements/payments from insurance companies.
- Perform daily bookkeeping audits to ensure cash balances and Jane system billing reports are perfectly accurate.
- Assist senior management with administrative details, including organizing expense receipts, filing, and maintaining internal databases.
- Use clinic computers to enter data, schedule meetings, and generate routine operational reports.
Clinic Care & Maintenance
- Keep the main entrance, waiting area, and reception desk clean, organized, and inviting.
- Manage clinic laundry throughout the day to keep operations moving smoothly.
- Monitor and restock essential facility supplies (toilet paper, paper towels, hand soap).
- Keep track of inventory and order office/clinic supplies as needed.
Qualifications & Skills
- Availability: Must be available to work Saturdays. Regular commitment to Saturday shifts is required for both the current casual phase and the upcoming maternity cover contract.
- Experience: Previous experience performing clerical duties in a busy office setting is preferred. Experience with the Jane app or medical billing software is a major asset.
- Work Ethic: Ability to work independently, multitask efficiently, and stay detail-oriented under pressure.
- Demeanor: Possess strong emotional intelligence; able to handle stressful or busy situations with a calm, objective, and professional attitude.
