Operations Coordinator - Help Shape the Future of Innovation

We are looking for a highly organized, proactive, and service-oriented Operations Coordinator to join our team. The Operations Coordinator is a key contributor to the day-to-day success of the park, helping coordinate projects, tenant services, vendors, facilities initiatives, and operational processes that keep our campus running smoothly.
What You'll Do
RESPONSIBILITIES AND ACCOUNTABILITIES
- Support planning, tracking, and delivery of operational and capital projects
- Coordinate work orders, maintenance requests, and service delivery with vendors
- Maintain project documentation, schedules, and status updates
- Serve as a primary contact for tenant operational requests and communications
- Coordinate notices related to maintenance, disruptions, and site activities
- Track and document tenant issues and resolution outcomes
- Coordinate vendor access and documentation requirements
- Support RFP/RFQ processes, bid tracking, and procurement administration
- Maintain contract records, renewal dates, and compliance requirements
- Monitor vendor performance and track service issues
- Support Fire & Life Safety programs, inspections, and compliance documentation
- Track contractor insurance and regulatory requirements
- Maintain incident logs and support emergency preparedness and follow-up
- Maintain operational trackers, dashboards, and documentation systems
- Support reporting, analytics, and data integrity for operational performance
- Assist with SOP management, document control, and process standardization
- Assist with budget tracking, invoice coordination, and expense reporting
- Maintain asset and inventory records (e.g., keys, access, equipment)
- Support cost tracking and basic financial analysis
- Coordinate site access, onboarding/offboarding, and access records
- Support operational systems, credential management, and data tracking tools
- Assist with space coordination and site readiness
- Coordinate staff training records, scheduling, and compliance tracking
- Support calendar management, meeting coordination, and action tracking for the Director of Operations
- Prepare meeting materials and ensure follow-up on key actions
- Provide general administrative support and assist with staff events
- Support tracking of sustainability initiatives and operational metrics
- Contribute to process improvements and operational efficiency initiatives
QUALIFICATIONS
- Post-secondary education in business administration, operations management, facilities coordination, or related field (or equivalent experience)
- 3–5 years of experience in operations coordination, property/facilities administration, or project/administrative support
- Experience with vendor coordination, procurement documentation, contract tracking, and compliance record-keeping is an asset
- Familiarity with multi-tenant, real estate, or campus-style environments is preferred

What We're Looking For
- 3–5 years of experience in operations coordination, project administration, facilities coordination, property administration, or a related field
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent communication and stakeholder relationship skills
- High attention to detail and commitment to accuracy
- Strong analytical and problem-solving abilities
- Proficiency with Microsoft 365 applications including Excel, Outlook, Teams, and SharePoint
- A proactive, collaborative, and customer-focused mindset
- Experience in commercial real estate, facilities management, property operations, procurement, or compliance administration is considered an important asset
