Role Description
We are seeking a full-time, on-site Front Desk Receptionist to join our team in Markham, Ontario. As the first point of contact for clients and visitors, the successful candidate will play a key role in creating a positive and professional experience for everyone who interacts with our firm.
The Front Desk Receptionist will be responsible for managing reception duties, coordinating appointments, supporting client communications, and assisting with administrative tasks to ensure the smooth operation of the office.
Responsibilities
- Greet clients and visitors in a professional and courteous manner.
- Answer, screen, and direct incoming phone calls.
- Manage voicemail messages and respond to general inquiries.
- Schedule and confirm client consultations, meetings, and appointments.
- Maintain lawyer and staff calendars.
- Conduct new client intake and open client files.
- Process client payments and issue receipts.
- Provide clients with status updates on their files, as appropriate.
- Draft, prepare, and mail correspondence to clients.
- Receive, sort, and distribute incoming mail and packages.
- Maintain a neat, organized, and professional reception area.
- Perform clerical duties, including filing, scanning, photocopying, and data entry.
- Assist lawyers and senior law clerks with administrative and other office-related tasks as required.
- Coordinate with legal and administrative staff to support efficient office operations and exceptional client service.
Qualifications
- Previous experience in a front-desk, receptionist, administrative, or customer service role is required.
- Strong telephone etiquette and experience handling multi-line phone systems.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong organizational and time-management skills, with the ability to prioritize multiple tasks effectively.
- High attention to detail and accuracy.
- Ability to maintain confidentiality, exercise discretion, and demonstrate professionalism at all times.
- Experience in a legal, professional services, or law firm environment is considered an asset.
- Knowledge of a second language is considered an asset.
Education
- High school diploma or equivalent is required.
- College diploma or bachelor's degree in office administration, business, or a related field is preferred.
