Job Purpose
Provide high-level executive, personal, household and family support to the CEO, ensuring her professional and personal commitments are managed efficiently with discretion, initiative and excellent organisation.
Principal Responsibilities1. Executive & Office Support
Provide comprehensive administrative support by managing the CEO's diary, communications, meetings, documents, expenses, projects and stakeholder relationships while safeguarding confidential information.
2. Diary & Time Management
Maintain an integrated professional and personal schedule, proactively resolving conflicts and ensuring the CEO's time is effectively prioritised and protected.
3. Travel Management
Arrange and coordinate domestic and international travel, including itineraries, accommodation, transport, documentation and contingency planning.
4. Personal Administration
Manage the CEO's personal appointments, correspondence, purchases, research, records and day-to-day administrative tasks.
5. Household Organisation
Coordinate household operations, suppliers, maintenance, deliveries and ongoing projects to ensure the home runs smoothly.
6. Family & Childcare Support
Coordinate family schedules, childcare arrangements and children's activities while providing practical support as agreed.
7. Events & Hospitality
Organise business and personal events, managing logistics from planning through to follow-up.
8. Communication & Relationship Management
Act as a trusted point of contact, maintaining professional relationships and handling communications with diplomacy and discretion.
9. Confidentiality & Information Security
Protect all confidential business, personal and family information while complying with data protection and security requirements.
Scope of Authority
Make routine administrative decisions within agreed limits and seek approval for significant financial, legal, contractual or strategic matters.
Essential Experience & Qualifications
- Significant experience in a senior Executive Assistant, Personal Assistant or similar role.
- Experience managing complex diaries, confidential information and competing priorities.
- Strong administrative, communication and digital skills.
- Excellent written English and the legal right to work in the relevant country.
- Willingness to complete background checks where required.
- Entitled to work in Canada.
Desirable Experience
- Experience supporting a CEO or high-profile individual.
- Experience in household, family or childcare support.
- International travel, event management or project coordination experience.
- First-aid training, additional languages and knowledge of safeguarding or data protection.
Knowledge & Skills
- Excellent organisation, planning, communication, judgement and problem-solving skills with strong proficiency in Microsoft 365, Google Workspace and related systems.

Working Arrangements
The role is primarily home and office based and may require occasional travel, evenings or weekends in line with business and family needs.

Pay: $20.00-$25.00 per hour
