Studio Assistant / Design Administrative Assistant

Ridgely Studio Works is a boutique contemporary lighting design and manufacturing company located in East York. We design and build custom and made-to-order lighting for residential, commercial, hospitality, and design trade clients across Canada and the United States.
We are looking for a full-time Studio Assistant / Design Administrative Assistant to support our current Studio Administrator with day-to-day office administration, order processing, production coordination, shipping, product information, and design-related support.
This is an ideal opportunity for someone who is organized, detail-oriented, comfortable working in a small creative business, and interested in contemporary design, lighting, manufacturing, and interiors. The successful candidate does not need to be a fully trained lighting designer, but should be comfortable learning new systems, working with detailed information, communicating professionally with clients and vendors, and assisting with both office and studio tasks.
Responsibilities
Office Administration & Order Support
- Assist with managing new and ongoing orders.
- Respond to client inquiries by email and phone.
- Provide product information, pricing, and quotes for standard products and custom variations.
- Follow up on email inquiries and outstanding client requests.
- Process new orders and assist with issuing invoices.
- Confirm deposits and final payments in QuickBooks.
- Use invoices and order details to create internal work orders.
- Transfer project and order information into Asana.
- Maintain accurate records for active projects, production schedules, and client files.
- Contact vendors to order supplies, materials, and outsourced services.
- Assist with creating and editing product specification sheets.
- Prepare item lists in Excel for parts going to plating, powder coating, or other outside finishing.
Production & Design Support
- Assist the Studio Administrator and production team with organizing project information.
- Read and review shop drawings, product drawings, and order details.
- Help prepare basic working drawings or production notes when required.
- Assist with preparing files and information for laser cutting, finishing, assembly, and shipping.
- Support design development by helping organize drawings, product details, and client sign-off materials.
- Assist with 3D renderings, product drawings, or visual materials where experience allows.
- Experience with Rhino 3D, SketchUp, or AutoCAD is considered a strong asset.
Shipping & Receiving
- Assist with preparing sample packages and product shipments.
- Generate shipping quotes and schedule shipments, including shipments to the United States.
- Prepare shipping paperwork, including commercial invoices and certificates of origin.
- Help receive incoming materials, samples, and vendor shipments.
- Cross-reference shipping charges against invoices and online payment records.
- Assist with packing, organizing, and moving product samples or parts.
Website, Product Content & Marketing Support
- Assist with updating products on the company Shopify website.
- Upload product images, update product information, and maintain links to specification sheets.
- Assist with basic product photography and photo editing.
- Help prepare images and files for website, social media, newsletters, and client presentations.
- Assist with quarterly e-blast newsletters in Klaviyo.
- Support occasional social media posts for new products, completed projects, and studio updates.

Candidates do not need to be experts in every program listed, but should be comfortable with computers, willing to learn new systems, and able to work carefully with detailed information.
Qualifications
- Previous experience in office administration, design administration, customer service, project coordination, shipping/logistics, or a related role.
- Interest in lighting, interiors, architecture, product design, furniture, manufacturing, or the design trade.
- Strong written and verbal communication skills.
- Excellent attention to detail.
- Highly organized and able to manage multiple tasks at once.
- Comfortable working in a small business environment where priorities can shift throughout the day.
- Able to follow instructions carefully and ask questions when clarification is needed.
- Able to work both independently and as part of a small team.
- Experience with QuickBooks, Shopify, Asana, Adobe Creative Suite, Rhino, SketchUp, or AutoCAD is an asset.
- Ability to lift at least 25 lbs
- Post-secondary education in design, administration, business, or a related field is considered an asset, but not required for the right candidate.
Schedule
- Monday to Thursday: 8:00 a.m. to 5:00 p.m.
- Friday: 8:00 a.m. to 4:00 p.m.
- Full-time, in-person position

Compensation
- Salary range: $19.00 to $27.50 per hour, based on experience
- Bonus eligibility based on performance

About the Role
This is a support role working closely with our current Studio Administrator and production team. The right person will help keep projects organized, assist with client and vendor communication, support order processing and shipping, and contribute to the smooth daily operation of a busy custom lighting studio.
Pay: $19.00-$27.50 per hour
