Executive Assistant to the CEO
Mississauga | In Person (some travel)
The Executive Assistant will operate as a trusted partner to the CEO, ensuring seamless execution across all aspects of the CEO’s professional life. This role requires exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced, high-growth environment. Key responsibilities include:
· Own and manage the CEO’s complex calendar, ensuring alignment with strategic priorities
· Prepare the CEO for all meetings with high-quality briefing materials and research
· Coordinate domestic and international travel, optimizing for time, efficiency, and cost
· Act as a central point of coordination across internal teams and external stakeholders
· Manage communications, including emails, calls, and correspondence on behalf of the CEO
· Support meeting cadence with leadership team; capture notes and ensuring follow-ups are executed
· Liaise with external partners, including event organizers and key business contacts
· Maintain highly organized systems for documents, files, and confidential information
· Anticipate needs, solve problems proactively, and remove friction from the CEO’s day-to-day
What You Bring
· Min 5+ years supporting a C-suite executive as a full-time Executive Assistant with a Bachelor’s degree
· Exceptional organizational, prioritization, and follow-through capabilities
· Strong written and verbal communication skills; highly polished and professional
· High attention to detail with the ability to manage multiple priorities simultaneously
· Proactive, resourceful, who thrives in a fast-paced, evolving environment
· Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word) and effective with AI
· Comfortable handling highly confidential information with discretion and sound judgment
