About the Role
We are seeking a highly organized, detail-oriented, and experienced Administrative Assistant to join our growing insurance team. This is a permanent, full-time role designed for an insurance professional who thrives in a fast-paced environment and possesses a deep understanding of industry protocols.
You will be the backbone of our daily operations, handling critical administrative tasks across Personal (Auto/Home) and Commercial lines, while ensuring seamless service for our clients.
Key Responsibilities
- System & File Management: Manage, update, and maintain precise client files, policy records, and renewals using Epic and Power Broker.
- Daily Transactions: Process policy changes, endorsements, and renewals for Auto, Home, and Commercial accounts.
- CSIO & Portal Management: Download, assign, and distribute daily CSIO eDocs and company portal notifications to the correct brokers.
- Abeyance Tracking: Manage diary/abeyance systems to ensure no client file or policy change is left outstanding.
- Client Support: Assist clients with general inquiries regarding their policies, direct them through proper insurance protocols, and take payments.
- Claims & OAB Support: Utilize foundational knowledge of Optional Accident Benefits (OAB) to assist clients with opening auto insurance claims and navigating initial documentation.
- Documentation: Prepare and issue insurance certificates, pink slips, binders, and billing invoices accurately.
Mandatory Requirements & Qualifications
- Experience: Minimum of two (2) years of mandatory, direct administrative experience working within an active insurance brokerage.
- Software Expertise: Direct, hands-on proficiency using Epic and Power Broker software systems is strictly required.
- Product Knowledge: In-depth knowledge of insurance protocols across Auto, Home, and Commercial lines of business.
- Accident Benefits: General, practical working knowledge of Optional Accident Benefits.
- Licensing (Asset): An active RIBO license (or provincial equivalent) is considered a strong asset, but is not mandatory.
- Skills: Exceptional organizational skills, high attention to detail, strong multitasking abilities under tight deadlines, and a professional phone manner.
