Summary
The Maintenance Coordinator is an integral member of the Facilities team, responsible for ensuring that Harbour Landing Village buildings, equipment, and grounds are safe, functional, and well-maintained. This role coordinates day-to-day maintenance operations, including preventive maintenance schedules, urgent repairs, contractor oversight, and compliance with health and safety standards.
The Maintenance Coordinator performs a wide variety of maintenance tasks, including HVAC, electrical, plumbing, carpentry, and mechanical system upkeep. In addition, this role supports emergency preparedness planning, manages inventory of supplies and equipment, and assists with seasonal groundskeeping such as landscaping and snow removal.

This position requires strong technical knowledge, excellent organizational skills, and the ability to troubleshoot and resolve issues quickly while maintaining a resident-centered and service-oriented approach.
Key Responsibilities
Maintenance Operations
- Coordinate daily work schedules for reactive and proactive maintenance activities.
- Perform general building maintenance, including HVAC, electrical, plumbing, carpentry, and mechanical systems.
- Conduct preventative maintenance on equipment and facility systems, such as lighting, alarms, and rooftop units.
- Detect faulty operations, defective materials, and report issues promptly to supervision.
- Maintain accurate records of maintenance activities, inspections, and repairs.
- Track and manage work orders through Yardi Maintenance IQ, ensuring timely completion and accurate record-keeping.
Contractor & Vendor Coordination
- Work with contractors to minimize downtime for critical systems, including Fire/Life Safety, HVAC, elevators, refrigeration, and equipment.
- Oversee and coordinate vendor services such as waste management, pest control, and snow removal.
- Monitor construction, renovation, or repair projects to ensure compliance with safety and building standards.
Inventory & Equipment Management
- Maintain inventory of parts, supplies, tools, and warranties.
- Ensure janitorial and maintenance equipment is properly cared for and serviced.
- Plan and collaborate on cost-effective use of internal resources versus contractors.
Grounds & Facility Care
- Perform groundskeeping duties including landscaping, lawn care, and snow removal using appropriate equipment.
- Ensure exterior areas of the property are clean, safe, and welcoming.
Safety & Compliance
- Follow departmental procedures and safety regulations, including WHMIS and risk management practices.
- Participate in emergency preparedness planning and response.
- Promote and maintain a safe work environment for staff, residents, and visitors.
Collaboration & Service
- Respond promptly to urgent maintenance requests from staff, residents, and management.
- Provide guidance and support to colleagues to anticipate and meet operational needs.
- Maintain positive working relationships with employees, residents, and contractors.
Drive Harbour Landing Village vehicles/van on designated days to assist with resident transportation needs, including medical appointments, grocery trips, community outings, and other scheduled activities.
Perform other related duties as assigned.
Skills, Qualification, & Requirements
- Minimum 3 years of facility or maintenance coordination experience, preferably in a residential, healthcare, or hospitality setting.
- Technical skills in HVAC, electrical, plumbing, and carpentry.
- Strong problem-solving and troubleshooting abilities.
- Proficient in Microsoft Office Suite for scheduling, reporting, and communication.
- Highly motivated, organized, and able to work independently with minimal supervision.
- Excellent verbal and written communication skills.
- Ability to lift up to 55 lbs and perform frequent walking, standing, bending, and climbing.
- Valid WHMIS certification.
- Valid Class 5 Driver’s License (required); Class 4 an asset.
- Clear Criminal Record Check with Vulnerable Sector Screening.
