Temporary Contract Appointment Secretary
The Port Arthur Health Centre is currently seeking a Temporary Contract Appointment Secretary to provide administrative and scheduling support for specialist physicians.
This position is required to provide consistent weekday coverage and is available Monday through Friday. The successful candidate will begin as soon as possible to allow for training and orientation before the current temporary coverage concludes.
This is a temporary contract position with no guaranteed end date and is not eligible for benefits or permanent full-time status.
Position Summary
The Appointment Secretary is responsible for managing the schedules of two specialist physicians, coordinating patient appointments, and providing administrative support to the physicians and their patients. The successful candidate will be the primary point of contact for appointment scheduling and physician communications, ensuring the efficient day-to-day operation of the specialists' practices.
Key Responsibilities
- Schedule patient appointments according to physician availability.
- Book appointments based on referrals received from hospitals, clinics, and external physicians.
- Enter, update, and maintain accurate appointment information within the electronic medical record (EMR).
- Confirm, cancel, and reschedule appointments as required.
- Receive, document, and relay telephone and electronic messages for physicians in a timely manner.
- Respond promptly and professionally to communications from physicians.
- Screen and appropriately direct calls intended for the physicians.
- Explain physician instructions to patients, including information regarding diagnostic testing, procedures, and pre-operative care.
- Prepare, compile, and transmit patient records and related documentation.
- Maintain strict patient confidentiality in accordance with privacy legislation and clinic policies.
- Provide administrative support to the specialist physicians and collaborate with clinic staff to ensure efficient patient care.
- Perform other related duties as assigned.
Qualifications
- Excellent communication and interpersonal skills.
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to prioritize competing demands in a fast-paced medical office.
- Strong computer skills; experience using an electronic medical record (EMR) system is an asset (Healthscreen experience is preferred).
- Demonstrated professionalism, tact, and discretion when dealing with physicians, patients, and staff.
- Previous experience in a medical office or healthcare setting is considered an asset.
Working Conditions
- Monday to Friday, 8:30am - 5:00pm
- Office-based position requiring prolonged computer use.
- Frequent interaction with specialist physicians, patients, hospitals, clinics, and other healthcare providers.
