Job Summary
We are seeking a detail-oriented Senior Automotive Deals Clerk to join our dealership team. This is an excellent opportunity for someone who takes pride in accuracy, has a keen eye for detail and enjoys working collaboratively as part of a professional, supportive and friendly team environment.
As a Senior Automotive Deals Clerk, you will be responsible for managing the administrative and accounting processes connected to new, used and wholesale vehicle sales within the dealership. This includes ensuring compliance, accuracy, and the timely processing of all deal-related paperwork and records. The successful candidate will manage deal paperwork, facilitate smooth transaction processing, and support sales operations.
Responsibilities
- Accurately process and post retail, wholesale, fleet, and dealer trade vehicle deals, including reconciliation of sales data.
- Prepare, verify, and submit necessary vehicle deal documentation to manufacturers, lenders, and internal departments for each sale.
- Maintain and organize deal files and lease files, ensuring all required paperwork is complete and compliant with internal and legal standards.
- Regularly reconcile schedules, such as after-market purchases and inventory, and conduct monthly audits as needed.
- Follow up with dealership management and sales staff to resolve outstanding documentation or discrepancies.
- Support month-end closing activities and assist in preparing reports for management review.
- Act as a key liaison between the dealership’s sales, accounting, and support services teams to ensure seamless deal processing.
- Reconcile the records of the administration department with those of the sales department.
- Prepare a daily report on sales contracts.
- Process and post in-house leases.
- Record lease payments and update lease amortization schedules on a monthly basis.
- Reconcile and authorize the payment of commissions.
- Manage warranty receivables by accurately recording receipts and payments and following up on outstanding balances.
Experience
- Prior experience in the automotive industry or dealership environment is preferred.
- Bookkeeping and/or clerical experience is considered a strong asset.
- Strong mathematical, organizational, and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Familiarity with dealership management software or ERP systems, particularly Reynolds and Reynolds, is an asset.
- Excellent communication and collaboration skills.

Pay: $55,000.00 per year
