Summary
We are seeking a Clinic Float to join our dynamic team at Harbourview Family Health Team. The Clinic Float is a versatile team member responsible for supporting both administrative and clinical functions within a busy primary care clinic. This role plays a critical part in ensuring smooth day-to-day operations, patient satisfaction, and overall clinic efficiency. The Clinic Float will rotate between front desk and clinical support responsibilities based on clinic needs.
Regular working hours are from 8:45am to 5:00pm, but this position will also work after hours clinic.
Responsibilities:
Administrative Duties:
- Greet and register patients in a professional, friendly manner.
- Accurately verify and enter patient demographic and health card information into the electronic medical record (EMR).
- Answer and manage a multi-line telephone system, triage calls, and direct inquiries appropriately.
- Manage and maintain physicians’ schedules, making updates and adjustments as required.
- Coordinate the cancellation and rescheduling of physician clinics.
- Triage patient needs and book appointments appropriately to the available services.
- Respond to patient and visitor questions regarding clinic services and processes.
- Generate billing invoices and collect payments for third-party services.
- Ensure patient information remains confidential and secure in compliance with privacy regulations.
- Manage internal messages from physicians and execute requested tasks in a timely manner.
- Handle medical record requests via fax or USB, ensuring proper authorization and privacy safeguards.
- Prepare and process roster forms and Q200 billing as necessary.
- Provide patients with requisitions and manage appointment re-bookings, as needed.
- Respond to telephone messages and provide follow-up or responses from the clinical team as appropriate.
- Handle faxing, scanning, and maintenance of electronic records.
Clinical Duties:
- Escort patients to exam rooms and conduct initial assessments including vital signs (height, weight, blood pressure, visual acuity).
- Document medical history, vital statistics, and test results in the patient’s medical chart.
- Prepare exam rooms and assist physicians during patient examinations.
- Collect and label diagnostic specimens (e.g., urine) for laboratory processing.
- Disinfect and clean examination rooms and medical equipment between patients.
- Monitor and record logs including refrigerator temperatures, medication expiry dates, and medical gas levels (e.g., oxygen, nitrogen).
- Maintain and stock medical supplies including drug cupboards and wound care carts.
- Assist with ordering and managing immunization inventory.
- Order, receive, and stock clinic and medical supplies.
Requirements
- Medical Office Administration Diploma or Medical Assistant Certification preferred.
- Previous experience in a clinical or primary care setting preferred.
- Strong organizational skills and attention to detail.
- Ability to multitask in a fast-paced environment.
- Excellent communication skills, both verbal and written.
- Ability to work collaboratively within a team environment.
- Flexibility to adapt to various roles and responsibilities as needed.
