Salary:
$26.62 to $36.41 per hour ($48,448.40 to $66,266.20 per annum)

MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of a formal training program from a recognized institution in Recreation Management, Business Administration, Marketing, or a related discipline is required.
EXPERIENCE:
- Minimum four years of experience in customer service, membership operations, recreation, or a related business environment is required. Preference within a recreation, fitness, or post-secondary setting.
- Experience with staff supervision, staff training, and hiring preferred.
- Experience in customer experience, membership management, sales, retention, or program administration considered an asset.
- An acceptable equivalent combination of education and experience will be considered.
SKILLS AND ABILITIES:
- Demonstrated proficiency with Microsoft Office 365 including Excel, Word, Outlook, Teams, Bookings, Forms, and OneDrive is required.
- Effective communication and interpersonal skills required.
- Demonstrated problem-solving, critical thinking, and organizational abilities are required.
- Ability to analyze data and identify trends is required.
- Ability to work independently and take initiative is required.
- Ability to multitask and balance operational responsibilities with project work is required.
- Ability to provide presentations, tours, and information sessions to individuals and groups is required.
- Ability to set up tradeshow/event(s) including displays and tables, carrying marketing materials up to 50 lbs across campus is required.
- Ability to communicate a broad range of information regarding Recreation Services programs, memberships, facilities, and services is required.
- Ability to relate effectively to university students and diverse member groups is required.
- Experience with membership, registration, or POS systems is considered an asset.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
OTHER JOB RELATED QUALIFICATIONS:
- Training in conflict resolution, customer service recovery, or difficult conversations is considered an asset.
- Occasional evening and weekend work may be required.
Membership Administration & Program Support
- Administers membership processes, including assisting with registrations, processing renewals, cancellations, transfers, freezes, and customer account maintenance.
- Assists the Director with membership initiatives, annual planning activities, and service improvement projects.
- Preforms market research, recommends new membership initiatives, packages, and engagement strategies for new and existing members.
- Coordinates the implementation of membership promotions, campaigns, and engagement initiatives.
- Coordinates membership promotions and communications with the faculty’s central Marketing team, including website updates, brochures, email campaigns, and digital content.
- Assists with tours, information sessions, outreach activities, and promotional events.
Member Relations & Promotion
- Communicates verbally and in writing with members, program participants, user groups, and community partners regarding memberships, programs, services, eligibility, rates, and facility access.
- Assists the Director with complex membership inquiries, disputes, eligibility concerns, incidents, and policy interpretation.
- Coordinates timely communication with members regarding facility closures, service interruptions, and operational updates.
- Responds to inquiries and collaborates with internal departments to resolve member concerns and ensures a high level of customer service.
- Identifies opportunities to improve member service and administrative processes and brings recommendations forward to the Director.
Information Management & Reporting
- Maintains membership records, online forms, booking systems, and related documentation to ensure accurate and efficient administration.
- Analyzes and prepares information to support membership planning, reporting, and decision-making.
- Assists customer service team with locker allocations, renewals, audits, and reporting to optimize rental opportunities.
- Assists with testing, implementing, and documenting updates to membership systems and administrative procedures.
- Monitors membership administration processes and identifies opportunities to improve efficiency and service delivery.
- Prepares regular reports on membership sales, participation, renewals, and usage trends.
- Compiles and monitors membership, participation, survey, and customer feedback data to support program evaluation and service improvements.
- Provides information and administrative support to the Director for planning, reporting, and decision-making.
Student Staff Coordination
- Recruits, trains, schedules, and provides day-to-day direction to 2–3 casual student staff.
- Monitors student work assignments and provides ongoing coaching and feedback to ensure consistent application of services standards.
- Assists with performance reviews and addresses routine performance concerns in consultation with the Director.
- Provides orientation and training to student staff on membership systems, policies, procedures, and customer service standards.
- Maintains membership procedures, training resources, and administrative documentation.
- Assists the Director with updating operational procedures, forms, and service standards.
Other duties as assigned
- Works in a team environment where cooperation, collaboration and teamwork is critical, including providing holiday and peak time coverage.
- Participates in meetings, committees, and working groups as required.
- Assists with Recreation Services events and special projects, including representing department at internal and external events.
- Provides general administrative support, including correspondence, records management, inventory tracking, equipment orders, purchasing support, and event coordination.
- Performs other related duties as assigned.
