We are looking for a highly organized, proactive, and detail-oriented Operations Administrator to join our growing team.
This hybrid role combines project coordination with office administration and will become an integral part of our daily operations. You will work closely with our estimator, operations manager, accounting manager, field staff, subcontractors, clients, and municipalities to ensure projects move smoothly from estimating through completion while keeping our office organized and compliant.

Key Responsibilities:
· Coordinate projects from estimating through to close-out, keeping project records organized and up to date.
· Prepare and submit demolition permit applications along with all supporting documentation.
· Set up new projects in our in-house app, keep both digital and paper project files organized throughout the job, and archive completed projects when finished
· Work with municipalities, utility companies, consultants, subcontractors, clients, and field staff to keep projects moving smoothly.
· Support our Health & Safety program by keeping compliance documents organized, tracking emissions data, and maintaining accurate records.
· Collect and follow up on daily field paperwork such as activity reports, pre-trip inspections, and dump slips, and chase down anything missing.
· Prepare dump slip summaries and help with Accounts Payable and general office administration.
· Complete BC 1 Calls and maintain utility locate records.
· Track insurance certificates, ICBC documents, CVI inspections, equipment records, and other compliance items.
· Answer incoming calls, greet visitors, and be the first point of contact for clients, contractors, and suppliers.
· Keep office supplies stocked and help keep day-to-day office operations running smoothly.

Qualifications:
· Minimum 2 years of experience in construction administration, project coordination, or a similar role.
· Experience in the demolition or construction industry is considered a strong asset.
· Post-secondary education in construction management, business administration, or a related field is an asset.
· Experience with permitting, project documentation, or health & safety administration is an asset.

Schedule: Monday – Friday, 8am – 4pm
Compensation: Salary starting at $70,000 per year, based on experience
