Job Summary
We are seeking a highly organized Office Administrator to support our property management operations. This role focuses on administrative coordination, high-volume data entry, lease preparation, and scheduling.
The ideal candidate is detail-oriented, comfortable working with property management systems, and able to manage multiple tasks in a fast-paced office environment.
Key Responsibilities
- Perform administrative and high-volume data entry while maintaining accurate tenant and financial records
- Prepare leases, rental agreements, and tenant documentation
- Schedule property showings, maintenance appointments, inspections, and meetings
- Manage incoming calls and emails with professional phone etiquette
- Maintain organized tenant files, documents, and office records
- Enter invoices, expenses, and financial transactions using Buildium
- Communicate with tenants, vendors, and maintenance teams to coordinate services
- Assist with document preparation, filing, and general office coordination
- Monitor office supplies and support daily office operations
- Quickbooks, minor accounting and book keeping
Requirements
- Administrative and data entry experience required
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and schedules simultaneously
- Proficiency in Microsoft Office (Advanced Excel required)
- Experience with Buildium or similar property management software is an asset
- Strong written and verbal communication skills
- Professional phone etiquette
- Experience in property management or real estate offices is an asset
