Executive Assistant
How does the role impact the organization?
Reporting directly to the CEO, the Executive Assistant is a critical strategic partner and key resource to the CEO and assigned senior leadership team members and/or Chair of the Board of Directors. The Executive Assistant is accountable for independently and proactively prioritizing a fast-paced, complex workload to ensure executive objectives and deadlines are met, while ensuring internal and external stakeholders are supported in a professional, courteous, and responsive manner.
What will your role be responsible for?

Serve as the central point of coordination for all CEO Office activities, ensuring the CEO’s agenda is executed seamlessly and strategically.

Provide comprehensive, confidential administrative support including coordinating and managing an active executive calendar, scheduling and preparing for meetings, and managing executive communications as appropriate;

Anticipate issues, risks, and requirements, providing the CEO with timely information, insight, and recommendations.

Proactively manage calendar, travel arrangements, and expenses, ensuring alignment with organizational priorities, efficient use of time, and seamless logistics in accordance with established policy;

Lead the planning, coordination, execution, and follow-through of meetings, events, including agenda development, stakeholder coordination, logistics management, materials preparation, and tracking of action items and outcomes;

Support senior leadership team activities as required, including coordinating meetings, tracking attendee responses, arranging meeting logistics, equipment, and materials, and following up on actions and deliverables;

Provide high-level, confidential support including diary management, meeting coordination, travel planning, documentation, and inbox prioritization.

Provide project-related and administrative support, including verifying and submitting expenses and invoices, and preparing statements and reports;
-
Coordinates and advances key workflow and approvals prioritization and completion for assigned leaders in accordance with accepted parameters and requirements.

Utilize advanced proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook) to support the preparation of executive-level presentations, reports, and correspondence;

Work effectively across multiple systems and CRM platforms to support executive and organizational needs;

Coordinate and oversee system and facilities-related requirements to ensure the CEO and leadership team are fully supported;

Build strong, effective working relationships with all levels of management, employees, and external stakeholders, exercising discretion and professionalism at all times;

Coordinate and support social media activity on behalf of the CEO and/or organization, as required;

Ensure the CEO is briefed, prepared, and informed ahead of all internal and external engagements.

Oversee tracking and delivery of key cross‑functional projects, ensuring milestones, risks, and interdependencies are well-managed.

Provide backup support to other regulatory and administrative staff and participate in training, work allocation, and problem resolution; and
-
Proactively identify and implement opportunities to streamline administrative processes and improve efficiency to support business results.

Extensive experience supporting C‑suite leaders in a complex, fast‑paced corporate environment.

Experience in a broker dealer or law firm environment considered an asset.

Salary Range: $75,000 - 90,000 annually, in addition to competitive performance bonuses/incentives.
Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
