Overview
We are seeking a highly organized and professional Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience with office management tools such as Microsoft Office, QuickBooks, and Google Workspace. Prior experience in medical or dental offices is a plus, but not required. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, QuickBooks, and Google Workspace
- Handle filing systems and ensure documents are properly organized and accessible
- Provide customer support by addressing inquiries and assisting clients or patients efficiently
- Assist with appointment scheduling and calendar management for staff or practitioners
- Proofread correspondence, reports, and other documents for accuracy and clarity
- Support medical or dental office operations by managing patient information, verifying insurance details, and coordinating appointments when applicable
- Perform clerical tasks including photocopying, scanning, and maintaining office supplies
Qualifications
- Proven experience in an administrative role with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Strong computer skills including data entry, typing, proofreading, and familiarity with multi-line phone systems
- Experience with QuickBooks or bookkeeping is preferred but not mandatory
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional customer service skills with professional phone etiquette
- Previous clerical or office experience in medical or dental settings is advantageous
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Strong attention to detail with the capability to manage multiple responsibilities simultaneously
- High school diploma or equivalent required; additional administrative training or certification is a plus
Pay: $16.46-$18.00 per hour
