We are seeking a highly organized and adaptable Administrative Assistant for a hands-on contract role (approximately 4–5 months) based in Sydney, Nova Scotia, supporting a motivated team within the provincial government.
This position supports a busy program area and will play a key role in ensuring the smooth delivery of administrative and client service functions, including permit processing, responding to inquiries, and providing front-line support.
Key Responsibilities for the Job:

Prepare general correspondence, reports, and non-routine documents

Schedule appointments and coordinate meetings
-
Arrange travel and process related logistics
-
Draft and edit correspondence
-
Prepare and reconcile expense reports
-
Maintain filing systems and records management processes
-
Respond to inquiries and support front-line client service activities
-
Perform other related administrative duties as assigned
Experience & Attributes for Success:
-
Completion of a one-year post-secondary certificate or diploma in business or administrative studies (or a related commercial program)

Minimum of three years of related administrative experience, an equivalent combination of training and experience will also be considered

Strong organizational skills with the ability to manage multiple priorities and deadlines

Professional, customer-service-oriented approach when dealing with the public and internal stakeholders

Ability to handle confidential and sensitive information with discretion

Strong interpersonal skills and a collaborative, team-focused attitude
-
Proficiency with standard office software (e.g., Microsoft Office Suite)
