Purpose of the Role
The Special Events Coordinator is responsible for planning, coordinating, executing, and evaluating 8 annual business and community events hosted by the Niagara-on-the-Lake Chamber of Commerce. This role requires a highly organized, detail-oriented professional who can manage multiple projects simultaneously while ensuring exceptional event experiences for members, sponsors, community stakeholders, and attendees.
The successful candidate will oversee all aspects of event administration and logistics, from initial planning and sponsorship coordination through event setup, onsite management, and post-event wrap-up. This is a hands-on role that requires both strategic planning and physical participation in event setup and teardown.
Key Responsibilities
Event Planning & Coordination
- Lead the planning and execution of approximately eight annual Chamber business and community events.
- Develop event timelines, project plans, budgets, and operational schedules.
- Coordinate event logistics including venues, permits, equipment rentals, catering, entertainment, audiovisual requirements, signage, and transportation.
- Manage event registrations, attendee communications, ticket sales, and guest lists.
- Ensure all event activities align with Chamber objectives, brand standards, and community engagement goals.
Administrative Oversight
- Prepare event documentation, contracts, schedules, reports, and post-event evaluations.
- Maintain accurate records of sponsors, vendors, volunteers, attendees, and event budgets.
- Coordinate sponsorship fulfillment, ensuring sponsor benefits are delivered accurately and professionally.
- Accounts Payable processing, tracking expenses, and assisting with budget management and reporting.
- Develop event marketing materials in collaboration with Chamber staff and external partners.
Stakeholder & Vendor Relations
- Serve as the primary contact for event vendors, suppliers, sponsors, volunteers, and community partners.
- Build and maintain positive relationships with local businesses and community organizations.
- Negotiate contracts and secure services within approved budgets.
- Coordinate volunteer recruitment, scheduling, training, and supervision.
Event Execution
- Oversee onsite event operations to ensure smooth and successful execution.
- Coordinate event setup, registration, guest services, troubleshooting, and teardown activities.
- Manage the support team and volunteers during event operations.
- Ensure compliance with health, safety, accessibility, and risk management requirements.
- Respond effectively to last-minute changes and operational challenges.
Event Evaluation & Continuous Improvement
- Conduct post-event reviews and evaluations.
- Gather attendee, sponsor, and stakeholder feedback.
- Analyze event outcomes and provide recommendations for future improvements.
- Prepare summary reports highlighting attendance, sponsorship results, budgets, and key performance metrics.
Qualifications and Skills
- Postsecondary education in Event Management, Hospitality, Business Administration, Marketing, Public Relations, or a related field.
- Minimum 5 years of event planning and coordination experience, preferably within a chamber of commerce, association, tourism, or non-profit environment.
- Demonstrated experience managing multiple projects and events simultaneously.
- Strong organizational, project management, and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite, event registration platforms, CRM systems, and digital marketing tools.
- Experience managing budgets, sponsorships, and vendor relationships.
- Ability to work independently while collaborating effectively with staff, volunteers, board members, and community stakeholders.
