The Client Experience Coordinator plays a critical role in making that happen.
You are the bridge between clients and clinicians. You are the steady presence that keeps communication flowing, details organized, and people feeling cared for. Every day, your work helps create an environment where clients can focus on healing and therapists can focus on providing exceptional care.
What You'll Be Responsible For Creating an Exceptional Client Experience
- Welcoming clients into the office and helping them feel comfortable from the moment they arrive.
- Guiding new and existing clients through the therapy process, helping them feel informed and supported.
- Managing a high volume of client phone calls and emails while ensuring every interaction feels personal, caring, and professional.
- Overseeing intake forms, paperwork, and documentation to support continuity of care.
Supporting Therapists
- Handling administrative details that allow therapists to stay focused on delivering exceptional care.
- Serving as a key point of coordination between clients and clinicians.
- Managing client-related tasks and requests assigned by therapists.
- Communicating important client concerns, updates, and requests to therapists promptly.
Billing & Administrative Support
- Processing client payments and supporting billing-related inquiries.
- Direct billing insurance providers.
- Coordinating with the Accounts Receivable team on outstanding balances.
- Assisting with emails, follow-ups, reporting, and special projects that help keep the practice running smoothly.

Pay: $45,000.00-$55,000.00 per year
