About the Role
This is a full-time, in-office, client-facing position that sits at the heart of our daily operations.
You'll work closely with our advisors to support client meetings, process investment transactions, maintain accurate records, and ensure every client interaction reflects the high standard of service we're known for.
We're looking for someone who enjoys working with people, takes ownership of their work, and thrives in an environment where trust, accountability, and attention to detail are valued.
While experience in financial services is considered an asset, it is not required. We are happy to train the right individual who demonstrates strong administrative skills, professionalism, and a willingness to learn.
What we’re looking for
We're looking for someone who:
· Has a minimum of 4 years of administrative experience (financial services experience is an asset)
· Is highly organized with exceptional attention to detail
· Communicates professionally, both verbally and in writing
· Enjoys building positive relationships with clients
· Works independently and takes initiative
· Has strong problem-solving and time management skills
· Is comfortable learning new technology and systems
· Maintains strict confidentiality and professionalism at all times
Key Responsibilities
Responsibilities include, but are not limited to:
· Serve as the first point of contact for clients and business partners, providing friendly and professional service
· Prepare documentation before client meetings and process paperwork following meetings
· Follow up on outstanding client documentation and transactions
· Maintain accurate electronic and paper filing systems
· Keep our CRM (Equisoft) current and well organized
· Process investment transactions, including purchases, switches, and withdrawals
· Monitor transactions through completion and follow up when required
· Maintain confidentiality of all client and business information
· Support advisors with a variety of administrative and operational tasks
· Ensure work is completed accurately and in accordance with regulatory and compliance requirements
What We Offer
- Competitive salary of $55,000–$65,000, based on experience

Our regular office hours are 9am to 5pm, Monday through Friday.
