You as an HSE Administrator will:
Provide administrative and coordination support to the site HSE team
Maintain and organize project-specific HSE documentation, including plans, permits, inspections, audit records, and reports
Support the HSE Management System through accurate document control and recordkeeping
Assist with COR audit preparation, compliance tracking, and ongoing program maintenance
Oversee training data collection and maintenance for new and existing employees, ensuring accuracy, consistency, and timely entry into tracking systems
Coordinate, schedule, and track HSE training requirements and maintain up-to-date training matrices
Act as the primary point of contact for all HSE training-related inquiries
Prepare and provide training status reports and updates to leadership as required
Support and assist with new hire onboarding and site orientations, including coordination, documentation, and occasional delivery
Compile and report HSE metrics (daily, weekly, and monthly), including incidents, trends, and leading indicators
Support incident reporting processes by maintaining documentation and tracking corrective actions
Issue and track HSE communications such as safety alerts, bulletins, and notices
Provide administrative support to Field HSE Coordinators and Advisors
Manage inventory and ordering of HSE supplies and PPE
Maintain organized digital and physical filing systems in alignment with company and project standards
Is this the right role for you?
1–5 years of experience in an administrative or HSE support role (construction or industrial project experience preferred)
Strong administrative skills with a high level of attention to detail, organization, and time management
Experience supporting training coordination and document control processes
Familiarity with COR programs and audit processes is an asset
Comfortable supporting and facilitating orientations and onboarding activities
Proficient in Microsoft Office (Excel, Word, SharePoint, OneDrive) and document management systems
Strong written and verbal communication skills
Ability to manage multiple priorities in a fast-paced, site-based environment
Health and Safety Administration (HSA) designation is an asset
Position is located in Cold Lake, AB (Onsite)
Must have, or be eligible for, CSID (PWSGC) Secret Level Security Clearance
