Position Summary
We are seeking a highly organized and detail-oriented Bookkeeper/Administrative Assistant with experience in full-cycle bookkeeping, payroll, and administrative support. The successful candidate will play a key role in supporting our accounting team through client communication, file management, onboarding, workflow coordination, and bookkeeping services for multiple clients.
Key ResponsibilitiesBookkeeping
· Provide full-cycle bookkeeping services for multiple clients.
· Perform bank reconciliations, accounts payable, accounts receivable, and cash management.
· Prepare and file government forms and reports.
· Process payroll and payroll reporting using Paymate, Ceridian, QuickBooks Payroll, or similar systems.
· Complete bookkeeping in QuickBooks Online using Dext and AutoEntry.
· Prepare monthly payroll, GST/HST, WSIB, EHT, and other compliance reports.
· Prepare annual T-slips and related filings.
Client Service & Administration
· Serve as a primary point of contact for clients and respond to enquiries professionally.
· Coordinate client onboarding, file setup, and documentation collection.
· Maintain organized and confidential client files and records.
· Prepare fillable PDF forms and client-facing documents.
· Assist with engagement letters, proposals, and document management.
Tax & Engagement Support
· Support personal and corporate tax engagements using TaxCycle, DoxCycle, and CaseWare.
· Download CRA documents and assist with CRA access setup.
· Finalize tax and year-end packages after accounting work is completed.
· Upload documents to CRA and maintain engagement documentation.
Operational Support
· Maintain CRM records and workflow systems.
· Assist with process improvements and automation initiatives.
· Manage courier, mailing, office supplies, newsletters, and administrative tasks.
· Support team members with general office administration.
Qualifications
· Minimum 3–4 years of full-cycle bookkeeping experience.
· Payroll processing and payroll reporting experience is required.
· Strong knowledge of QuickBooks Desktop and QuickBooks Online.
· Proficiency with Microsoft Office, Google Workspace, and Adobe products.
· Excellent organizational, communication, and client-service skills.
· Ability to manage multiple priorities in a fast-paced environment.
· Experience preparing personal income tax returns is an asset.
· Experience supporting multiple bookkeeping clients is an asset.
Software Experience
Experience with AutoEntry, CaseWare, TaxCycle, DoxCycle, Financial Cents, Proposify, Dext, Zapier, Canva, Mailchimp, Ceridian Payroll, Telpay, Calendly, Zoom, Wagepoint, ADP Payroll, QBO Payroll, and WSIB systems is considered an asset.
