Lawson Lundell LLP is currently seeking a competent and knowledgeable Pension Legal Assistant to join our Vancouver office on a full time, continuing basis. The successful candidate is an organized, enthusiastic, hardworking, team player who is capable of prioritizing and multitasking to successfully support lawyers in our busy Pension group. The regular working hours for this role are Monday – Friday, 8:30am – 4:30pm.
Standard Responsibilities
- Prepare, revise, format, and finalize legal documents, correspondence, presentations, and other materials, ensuring accuracy, consistency, and adherence to firm precedents and formatting standards. This includes preparing and organizing pension plan documents, amendments, governance materials, and member communications.
- Coordinate filings, registrations, and submissions with pension regulators and other governmental authorities. Prepare and draft various correspondence and documents.
- Mark up and proofread documents for accuracy.
- Conduct corporate and regulatory searches.
- Liaise with clients, consultants, actuaries, trustees, and regulatory bodies.
- Open new client matters and assist with conflict checks and engagement processes.
- Manage lawyer calendars, schedule appointments, meetings, and conferences, and coordinate travel arrangements, as required.
- Organize and maintain client files in accordance with firm policies and records management requirements.
- Maintain bring-forward systems and track key deadlines and compliance dates.
- Prepare and assemble meeting materials, agendas, and minutes for the Pension Group's monthly meetings.
- Enter time, prepare draft accounts, and assist with billing activities.
- Prepare expense reports.
- Assist with the preparation and coordination of client seminars, webinars, and pension industry events.
- Maintain client contact lists and support business development initiatives.
- Provide overflow assistance and perform various general administrative duties, as required.
Qualifications
- Minimum 3 years of previous experience as a legal administrative assistant
- Legal Administrative Assistant certification from an accredited institution
- Familiarity with pension and benefits terminology or legislation is considered an asset
- Advanced proficiency in Microsoft Office, particularly Word, Outlook and Excel
- Ability to multi-task, meet deadlines and solve problems in a fast-paced environment
- Has the ability to work both independently and as part of a collegial team
- Excellent organization and time management skills
- Exceptional attention to detail, producing accurate, high-quality work while ensuring consistency across tasks and documents
- Demonstrated initiative and a proactive approach to work, taking ownership of assignments and independently utilizing available resources, precedent files, and research while exercising sound judgment in determining when to seek guidance
- Displays extraordinary customer service in a professional, mature and courteous manner
- Highly dependable and adaptable with great work ethic
- Exceptional interpersonal skills
- Strong verbal and written English communication skills
- Prior knowledge of data management systems (i.e. iManage) and billing software (i.e. Aderant) is an asset
The typical salary range for this position is $58,000 to $65,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
