Core Responsibilities
- Logistics & Scheduling: Partner with the Service Manager to plan, organize, and optimize daily schedules and dispatch routes for both installation and service teams across the GTA.
- Team Coordination: Act as the central point of communication between clients and field technicians, ensuring service commitments are met efficiently and professionally.
- Maintenance Program Management: Oversee the scheduling and coordination for our Maintenance and Protection Plan division to ensure timely seasonal bookings.
- Inventory & Vendor Relations: Coordinate with suppliers and manufacturers to secure parts, manage warehouse stock, and ensure technicians have the necessary tools for their daily calls.
- Operational Reporting: Maintain database integrity by tracking job statuses, managing service history in our CRM system, and updating spreadsheets via Google Sheets.
Requirements
- Experience: Minimum 3 years of dedicated dispatching experience and 2 years of direct experience within the HVAC or home services industry.
- Schedule Flexibility: High operational flexibility is mandatory. Must be fully available and comfortable working evening shifts, regular weekends, and on-call rotations to support our 7-day operations.
- Technical Proficiency: Mandatory experience working with modern CRM platforms, digital dispatch boards, and Google Sheets/Excel.
- Communication Skills: Clear, professional verbal and written communication skills with the ability to manage rapid scheduling changes calmly and efficiently.
- Leadership & Teamwork: Proven ability to coordinate, support, and motivate a technical field team in a fast-paced environment.
