What You'll Do
As our Office Operations Coordinator, you'll oversee a wide range of operational and administrative responsibilities, including:
- Be the first point of contact by welcoming visitors, answering incoming calls, and supporting day-to-day office operations.
- Coordinate shared calendars and meeting spaces to ensure efficient scheduling.
- Manage corporate records and filings of the organization, ensuring filings are done properly and in a timely manner, coordinating with the Vice President, Finance on non-routine corporate matters.
- Coordinate mail, courier, package handling, scanning, photocopying, binding, and other day-to-day office service requests.
- Maintain a professional, organized, and welcoming office environment, including kitchens, common areas, and meeting spaces.
- Manage office inventory, including supplies, food, beverages, and company-branded merchandise.
- Track and manage office operations spending, including supplies, facilities, events, and vendor services.
- Support onboarding and offboarding, including preparing workspaces, supplies, equipment access, and local office orientation materials to create a welcoming employee experience.
Digital Workplace & SharePoint
- Administer SharePoint user access, permissions, and external sharing settings.
- Partner with IT vendors to ensure our digital workplace remains secure and effective.
- Support improvements to document management processes, naming conventions, and team adoption of best practices.
Vendor & Facilities Coordination
- Coordinate relationships with office vendors, building management, and IT partners.
- Arrange office maintenance, repairs, facilities improvements, office equipment, office supplies, and other related services and equipment as needed.
- Evaluate service provider options by comparing scope of work, cost, service quality, and timing, and help ensure vendors deliver services efficiently while maintaining a positive workplace experience.
Workplace Experience
- Coordinate employee events, celebrations, meetings, and catering.
- Support onboarding and offboarding to create a welcoming employee experience.
- Assist with internal communications, announcements, and workplace initiatives.
- Provide administrative support for leadership projects and organizational initiatives.
- Support the development of company newsletters and social media content that strengthens our employer brand and celebrates our culture.
The ideal candidate will have:
- 4–6 years of experience in an office operations or workplace coordination role with responsibility for managing day-to-day administrative and operational functions.
- Experience working with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), where experience using SharePoint is a considerable asset.
- Confidence learning new technology and improving digital processes.
- Past experience managing corporate records and filings considered an asset.
- Excellent written and verbal communication skills, with outstanding interpersonal and customer service skills with a warm, professional, and approachable style.
- Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously.
- A proactive mindset—you anticipate needs, solve problems independently and look for opportunities to improve how work gets done.
What you can expect from working for RCG
For this role, RCG is offering a base salary of between $50,000 to $65,000 depending on experience, along with a comprehensive total rewards package that includes extended health benefits, paid vacation, and eligibility for an annual performance bonus.
